Job description

We are seeking an experienced Bid and Proposal Manager, reporting directly to the Chief Corporate Officer, to lead pre‑award and post‑award contract activities across architectural projects. The role is responsible for managing bids, ensuring contractual compliance, mitigating risk, and supporting successful project delivery through strong negotiation, organization, and communication skills.

Key Responsibilities

Lead and manage the full bid lifecycle from opportunity identification through submission and post‑award review. This includes developing winning strategies through tender analysis, coordinating multidisciplinary teams, and producing high‑quality, compliant bid submissions. The role oversees pricing strategy, commercial and risk management, client engagement, and post‑submission negotiations, while ensuring timely delivery through strong project management. Responsibilities also include bid tracking, CRM and document management, maintaining a bid library, and driving continuous improvement through win/loss analysis, governance compliance, and audit‑ready processes.

Project Lifecycle Involvement
  • Pre‑Award Stage
    • Lead the preparation, submission, and negotiation of bids and tenders.
    • Ensure all technical, commercial, and legal requirements are fully addressed.
    • Coordinate with internal teams to develop competitive and compliant proposals.
  • Post‑Award Stage
    • Oversee contract administration to ensure adherence to agreed terms and conditions.
    • Monitor compliance, manage variations, and ensure timely invoicing.
    • Support the resolution of contractual issues or disputes as they arise.
Document & Knowledge Management
  • Maintain accurate and well‑organized records of bids, contracts, and supporting documentation.
  • Lead post‑bid debriefs to evaluate outcomes and incorporate lessons learned into future strategies.
  • Ensure documentation readiness for audits, compliance reviews, and internal reporting.
Job Requirements
  • Bachelor’s Degree in Architecture, Engineering, Quantity Surveying, Building, Project Management, or a related discipline.
  • Minimum 5+ years’ experience in bid & proposal management or similar roles within the architecture, engineering, or construction industries.
  • Strong Negotiation Skills with clients, contractors, and suppliers.
  • Contractual Expertise in construction law, architectural services agreements, and general conditions of contract.
  • Project Management Ability to manage multiple bids and deadlines simultaneously.
  • Excellent Communication Skills, both written and verbal, for drafting contracts, tender responses, and stakeholder coordination.
  • High Attention to Detail when reviewing bid documentation, contracts, and financial information.
  • Risk Management Capability to identify, assess, and mitigate contractual, cost, and delivery risks.
  • Ability to work effectively under pressure in a fast‑paced environment.
