The Administrative Officer is responsible for the smooth running of Clinical Practice, People Development and Policy & Process administrative operations within the Family & Community Support Division. This includes managing financial records, liaising with various department staff and directors, and ensuring seamless workflows that support the division\'s functions.

Responsibilities
  • Practice, People and Process Administrative Support:
  • Support senior management with administrative tasks such as practice standards reports, people development dashboard, data tracking and analysis, audit preparation, and other tasks as needed.
  • Oversee daily divisional correspondence, handling incoming and outgoing communication for the FSC HQ, e.g., smooth operations of phone, email, mail, and Teams.
  • Schedule meetings and appointments and prepare meeting rooms for management meetings, stakeholder engagement sessions and training sessions, including logistics support. Assist with minute-taking when required.
  • Prepare and distribute correspondence, memos, reading materials, and reports.
  • Collaborate with internal and external parties to develop and implement new work processes and systems for the centres/division.
  • Support relevant engagements and staff evaluations.
  • Support Finance, HR, Procurement processes, such as purchase orders, issuing payment receipts, training block bookings and expense reimbursements.
  • Update and maintain required records for group supervision, such as attendance data and fees.
  • Update and maintain relevant divisional portals/systems accordingly.
Communication and Coordination
  • Collaborate with internal and external parties to review work processes, forms, and systems for the division.
  • Coordinate with internal parties to support the publicity and communication of any forms that is relevant for the Division.
Qualifications
  • Diploma in Administration or a relevant qualification
  • At least 5 years (for Admin Officer) and 7 years (for Senior Admin Officer) of relevant working experience
  • Empathetic and understanding when working with clients from diverse backgrounds
  • Comfortable traveling across different work locations when required
  • High sense of accountability and responsibility
  • Good leadership and team management skills
  • Good problem-solving and critical thinking abilities, with attention to detail
  • Strong verbal and written communication skills
