Job summary

A premier educational institution in Singapore is seeking an administrative support personnel for student services. This role includes attending to queries, managing applications, and providing successful event organization. The ideal candidate will have strong IT skills, excellent communication, and the ability to work under pressure. This is a 2-year renewable contract position offering the opportunity to contribute positively to the school environment.

Qualifications

  • Proficiency in using Words and Excel for management reporting.

Responsibilities

  • Attending to phone and walk-in queries.
  • Updating of School Incidents report to School Cockpit.
  • Assisting in the Year 5 Registration and Orientation Programmes.
  • Handling students’ subject withdrawal requests and applications.
  • Certifying true copies of documents and updating student attendance.

Job description
Job Description
  1. Attending to phone and walk-in queries
  2. Updating of School Incidents report to School Cockpit
  3. Managing application of Student Pass for foreign students
  4. Assisting in the Year 5 Registration and Orientation Programmes including but not limiting to liaison with vendors (bookshop, uniform, magazines) and other administrative matters (activation and programming of students new CEPASS)
  5. Handling students’ subject withdrawal request, external H3 Programme applications
  6. Assisting in ‘A' level results release
  7. Help organize the Y56 uniform sales
  8. Editing, uploading and printing of Graduates’ CCA Achievements and Testimonial in School Cockpit
  9. Sorting and distributing SGC and IP Certificates
  10. Handling students request in reprinting of Certificates (RD, CCA, APR, PDR and GAP) verification request and preparing verification reply or letter (Visa applications and/or job reference checks etc.)
  11. Processing student’s withdrawal form and preparing Leaving Certificates
  12. Ensuring updated supplies of first aid items
  13. Certifying true copies of documents
  14. Assisting in administering of QSE, MOE and school internal surveys
  15. Updating student attendance to School Cockpit
  16. Assisting the Yr 5-6 Exam Committee in absentee report during Common Tests/Exams
  17. Collating attendance for the temperature taking and emergency/haze attendance taking exercise
  18. Providing admin support to school events e.g. PTM, Open House, talks, seminars, etc.
  19. Cashering duties for y56 but also y14 when needed.
  20. Any other duties assigned by the school
Job Requirements
  • Excellent IT skills (Words and Excel) and able to present information for management reporting
  • Good written and verbal communication skills
  • A high level of accuracy and eye for details
  • Clear and logical thinking
  • Good organization and planning skills need to organize and present quotations received
  • Excellent time management skills with ability to work independently on tight deadlines and under pressure
  • Good customer service skills with the ability to build appropriate professional yet friendly working relationships with staff and vendors
  • High Integrity with the ability to demonstrate an understanding and respect for confidentiality in dealing with job issues
  • Willingness to work beyond the call of duty
  • Able to find solutions to problems with some degree of flexibility in the approach whenever possible and investigate enquiries and respond in a timely manner
  • Effective contributor and team player within and with other departments
  • Prior understanding of MOE systems and able to work on rotated shift and weekend for school events a plus
  • This is a 2-year contract position (renewable)
