Overview:
We are seeking an experienced and highly organized Senior Admin Executive to join our construction team. The ideal candidate will be an all-rounded individual with a strong sense of responsibility, excellent communication skills, and the ability to manage both office and site-level administrative matters efficiently. This role requires close monitoring of staff and foreign workers, ensuring smooth daily operations and compliance with MOM and company regulations.
Key Responsibilities:
1. Administrative & Office Management
- Handle day-to-day administrative operations, documentation, and filing systems.
- Prepare, manage, and track purchase orders, invoices, and petty cash claims.
- Maintain and update company records, licenses, and certificates.
- Support management with scheduling, coordination, and communication tasks.
2. HR & Workforce Management
- Maintain accurate employee records including attendance, leave, and overtime tracking.
- Oversee foreign worker matters — work permit applications, renewals, cancellations, and lodging arrangements.
- Coordinate with MOM, insurance providers, dormitory operators, and employment agencies.
- Ensure compliance with all manpower regulations and company HR policies.
- Assist in recruitment, onboarding, and orientation of new staff and workers.
3. Site & Staff Coordination
- Monitor staff movement and ensure proper deployment of foreign workers to job sites.
- Work closely with Project Managers and Site Supervisors to resolve manpower or administrative issues promptly.
- Maintain communication between site and office to ensure smooth workflow.
4. Compliance & Reporting
- Prepare monthly reports on manpower status, attendance, and project support.
- Ensure proper documentation for audits, safety compliance, and MOM inspections.
- Support the management team in maintaining proper safety and HR documentation for all employees.
Requirements:
- Minimum 5 years of administrative experience, preferably in the construction industry.
- Strong understanding of MOM regulations and foreign worker management.
- Proficient in Microsoft Office and administrative systems.
- Excellent communication and interpersonal skills.
- Strong organizational skills with keen attention to detail.
- Ability to work independently and handle multiple tasks efficiently.
- Proactive, resourceful, and able to handle confidential information with discretion.
Preferred Qualifications:
- Diploma or higher in Business Administration, HR Management, or related field.
- Experience using HR management or construction project management software.
- Knowledge of local manpower and safety compliance procedures.
