Job description
ADMINISTRATIVE EXECUTIVE

The S. Rajaratnam School of International Studies (RSIS), a Graduate School of Nanyang Technological University, Singapore, is a leading research and teaching institution in strategic and international affairs and policy-oriented think-tank in the Asia-Pacific region.

RSIS is seeking suitable candidates for the position of Administrative Executive. The Administrative Executive provides comprehensive administrative and secretarial support to the executive team, ensuring efficient office operations. This role involves managing schedules, handling correspondence, organizing meetings, and assisting with various administrative tasks to facilitate the smooth functioning of the executive office. Reporting to the Manager, EDC’s Office, the key job responsibilities are as follows:

  • Assist Manager, EDC’s Office in the management of engagements of the Executive Deputy Chairman (EDC) and Chief Policy Research (CPR);
  • Carry out duties as assigned by Manager, EDC’s Office including, amongst others, those relating to Endowed Professorships, Visiting Fellows, and Board of Governors Meetings;
  • Manage the GetResponse database, i.e., maintain the database of names for distribution of RSIS online publications like commentaries, working papers, newsletters, etc. and database of names for inviting to RSIS events like public lectures and seminars; and
  • Assist in any other work assigned by senior management of RSIS.
Requirements:
  • Recognized degree or its equivalent;
  • Proven experience as an executive assistant, administrative assistant, or similar role;
  • Excellent organizational and time management skills;
  • Strong written and verbal communication abilities;
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software;
  • Ability to handle confidential information with discretion;
  • Detail-oriented and proactive approach to problem-solving; and
  • Strong interpersonal skills and ability to work collaboratively.
Preferred:
  • Prior experience supporting senior-level executives;
  • Knowledge of office management procedures.
