A reputable accounting and management service provider in Singapore seeks a detail-oriented Administrative Executive. This role involves handling immigration-related applications, managing client documentation, and providing administrative support. The ideal candidate should have a diploma in Business Administration or related fields, be fluent in Mandarin and English, and possess strong organisational and communication skills. Experience in client-facing roles is preferred.
We are looking for a responsible and detail-oriented Administrative Executive to join our team in Singapore. The role focuses on administrative support, client documentation coordination, and immigration-related applications. The candidate must be fluent in both Mandarin and English (spoken and written) to effectively liaise with clients.
Handle Singapore Permanent Residence (PR) and Citizenship applications, including preparation and submission of documents to the Immigration & Checkpoints Authority (ICA)
Coordinate with clients to collect, organise, review, and verify application documents, ensuring completeness and accuracy
Communicate clearly with clients regarding required document checklists and application progress
Identify missing or inconsistent information and follow up with clients in a patient and professional manner
Assist in formulating application strategies and preparing supporting documentation where required
Draft professional correspondence and supporting letters for submission to government authorities
Prepare invoices, manage accounts receivable, follow up on outstanding payments, and perform basic reconciliation
Assist in the preparation of contracts and related administrative documentation
Receive and attend to clients at the office when required
Provide work backup and administrative support for colleagues during their leave periods
Carry out other administrative and operational duties as assigned by management
Diploma or above in Business Administration, Management, or related fields
Fluent in Mandarin and English (spoken and written)
At least 1–2 years of relevant administrative or client-facing experience (experience in immigration, corporate services, or professional services is an advantage)
Strong organisational skills with high attention to detail
Patient, meticulous, and able to work with document-heavy processes
Good interpersonal and communication skills
Able to work independently and as part of a team
Proficient in Microsoft Office and standard office systems
