Job summary

A Nursing Home Facility in Singapore is seeking an Administrative Staff member to manage reception duties, handle correspondence, and maintain an efficient filing system. The ideal candidate should have a minimum GCE ‘N’ or ‘O’ level and at least 2 years of relevant experience in an administrative role. Strong computer knowledge and good interpersonal skills are essential. This fast-paced role requires teamwork and effective communication.

Responsibilities

  • Manage reception counter and ensure visitors sign-in.
  • Handle incoming calls, greet visitors, and accept deliveries.

  • Document control of ISO forms.
  • Ensure accuracy when preparing reports or schedules.

Job description

Responsibilities

  • To mend the reception counter, main gate and entrance door, ensure visitors sign-in and out the visitor book when they leave the home.
  • To send out out-going mail, date-stamp all the in-coming mails and distribute them to respective personnel.
  • To answer in-coming call, greet visitors, relaying staff's messages and accepting deliveries.
  • To prepare and file correspondence and maintenance of filing system.
  • Responsible for upkeep and repair of PC and copier including ordering of office supplies and call for service.
  • To arrange and confirm with service provider for transport requisition.
  • To prepare resident case file for every new admission for both NUD and FBD.
  • To print weekly updated resident admission and hospital admission list.
  • To prepare daily staffs meal list and perform other ad-hoc duties assign.
  • To participate in any and all activities related to the smooth running of the admin Department.

Areas of Accountability

  • Document control of ISO Forms and ensure latest forms is being utilized.
  • Maintain an efficient filing system.
  • Ensure high accuracy when preparing schedule or report for submission.
  • Ensure every movement of resident safekeeping is being documented.
  • Ensure all out-going memo is being documented with a number.
  • Participate in review processes.

Administrative & Management Practice

  • Ensure that all documentation is being maintained accordance to ISO procedures.
  • Ensure a working understanding of all nursing home protocols, procedures and policy.
  • Ensure the efficient use and care of office equipment and supplies.

Requirements

  • Minimum GCE ‘N’ or ‘O’ level.
  • At least 2 years’ relevant experience in administrative.
  • Computer knowledge, customer service will be an advantage.
  • Highly motivated, ability to work as a team in a fast paced environment.
  • Good communication skills, good personality and good interpersonal skills.
