Job summary

A corporate service firm in Singapore is seeking an administrative support professional to handle tasks related to notarisation, corporate resolutions, and provide general office assistance. The ideal candidate will have at least an ITE/Diploma or 'A' Levels, be proficient in MS Office, and display a positive, hardworking attitude. Experience within a law or accounting firm is advantageous. This role will involve diverse administrative responsibilities to support the Directors.

Qualifications

  • Candidates with relevant experience in a professional service firm such as a law firm or an accounting firm will be an advantage.

Responsibilities

  • Purchase business profiles and extracts from ACRA.
  • Arrange trips for notarisation and authentication.
  • Prepare corporate secretarial resolutions and compliance documents.
  • Lodge ACRA forms such as Annual Return and Change of Officers.
  • Organise documents and generate regular reports for the Director.
  • Assist in polling matters like registration of shareholders.
  • Maintain file listing and handle compactors housekeeping.
  • Assist with reception duties as required.
  • Perform general ad-hoc administrative duties assigned by Directors.

Responsibilities
  • Purchase of business profiles and extracts from ACRA
  • Arrange and/or make trips to Notary Public, Commissioner for Oaths, Singapore Academy of Law, Embassy, Translation, etc. (when required) for notarisation and authentication
  • Prepare corporate secretarial resolutions for general compliance matters, filing, typing, scanning, updating of minute books, redirection of mail and preparation of official letters (cover letters, courier slips, envelopes, etc).
  • Preparation and Lodgement of ACRA forms such as Annual Return, Extension of Time, Change of Officers and Particulars etc.
  • Prepare, organise documents and generate regular reports as requested by the Director.
  • Assist in polling matters such as registration of shareholders at polling events and preparation of polling summary, etc
  • Maintain file listing and compactors housekeeping
  • Assist with reception duties (includes attending to mails received, courier requests, accepting calls etc) when required.
  • Perform other general ad-hoc administrative duties when assigned by the Directors.
Requirements
  • Minimum ITE/ Diploma/ “A” Levels
  • Candidates with relevant experience in a professional service firm such as a law firm or an accounting firm will be an advantage
  • Proficiency in MS Office applications such as Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint.
