Accounts & Admin Executive @ Steven

5 days week (Mon - Fri), 9am to 6 pm
(need to work on Saturdays occasionally if there are seminars but there will be off in lieu)
Responsibilities
- Maintain Financial Records: Maintain full sets of accounting records, including expenses, invoices, reimbursements, and journal entries.
- Realized Income Booking: Record realized income such as interest, dividends, and coupon payments accurately and on a timely basis.
- Update Portfolio Valuations: Update investment portfolio valuations and prepare mark-to-market reports.
- Prepare Reports & Documentation: Prepare meeting minutes, financial summaries, and support periodic reporting requirements.
- Support Family Office Setup: Assist with family office setup documentation, regulatory filings, and submissions.
- Support Payment Processing: Support payment processing and maintain proper documentation for audit and compliance purposes.
- Tax Compliance: Support tax compliance matters, including preparation of tax schedules, coordination with tax advisors, and timely filing of required tax returns.
- Liaise with External Parties: Liaise with auditors, HR consultants, banks, tax advisors, and external service providers.
- Ensure Compliance & Accuracy: Ensure accounting and tax processes comply with trust company requirements, internal controls, and regulatory standards.
Required Skills & Qualifications
- Diploma or Degree in Accounting, Finance, or a related field
- At least 2–3 years of relevant accounting or finance experience
- Good understanding of accounting principles and bookkeeping processes
- Experience with QuickBooks or similar accounting software
- Proficient in Microsoft Excel
- Strong attention to detail and ability to manage multiple deadlines
- Good communication skills and ability to work independently in a fast-paced family office environment
