Job summary

Nato is seeking a coordination specialist to support training delivery at an international defence academy near Lisbon. You will manage course iterations, coordinate day-by-day schedules, and arrange essential on-site and remote technical support to ensure smooth operations across multiple locations.

Ideal candidates bring experience in education delivery, strong scheduling and data skills, and fluency in English for documentation and communication within an international context.

Qualifications

• Experience in education or training delivery within an academy, school, or international body.
• Ability to manage complex scheduling and resource allocation, preferably in an academic setting.
• Proficient with enterprise systems for data entry, records and basic financial processing.
• Proven customer-service record with internal staff, external entities and stakeholders.
• Familiarity with an LMS, including uploads and bulk schedule data.
• Solid reporting and data skills; fluent English in technical and user documentation.

Responsibilities

• Provide first-line support to training coordinators, instructors and students and resolve issues quickly.
• Advise on course iteration requests and scheduling, matching requirements to learning solutions.
• Coordinate iterations daily against the academy schedule and adapt as needed.
• Arrange on-site and remote technical support: access, bookings, AV and network services, security and facilities.
• Administer scheduling, resources and funding in training management and ERP systems.
• Support planning of overall course schedules and events such as conferences and workshops.
• Onboard instructors and process incoming students and participants.
