Responsabilidades

• Provide first-line support to training coordinators, instructors and students and resolve issues quickly.
• Coordinate iterations day by day against the academy schedule and adjust as needed.
• Arrange practical and technical support behind courses at on-site and remote locations: access, classroom setup, AV, network, security, facilities.
• Administer scheduling, resources and funding in training management and ERP systems with accuracy and timeliness.
• Help plan and manage overall course schedules and support events such as conferences and workshops.
• Onboard instructors and process new participants.

A training schedule is a promise to a great many people at once.

An international defence academy in Oeiras, just outside Lisbon, delivers courses to organisations and entities right across an alliance. You would be part of the team that makes each course iteration happen - and the first person anybody calls when it looks like it might not.

What you would be doing

• Providing first-line support to training coordinators, instructors and students from dozens of different organisations, and solving what comes up quickly
• Advising on course iteration requests and scheduling - gathering the requirement and matching it to an existing or tailored learning solution
• Coordinating iterations day by day against the academy schedule, and adjusting when reality intervenes
• Arranging the practical and technical support behind a course, on site and at remote locations: access, classroom booking and set-up, audio-visual and network services, security and facilities
• Administering iteration scheduling, resources and funding in the training management and enterprise business systems, accurately and on time
• Helping plan and manage the overall course schedule, and supporting events such as conferences, symposiums and workshops
• Onboarding instructors and in-processing students and participants

What you would bring

• A record of growing responsibility in education or training delivery - an academy, a school, or the training arm of a large international body
• Managing complex scheduling and resource allocation, preferably in an academic setting
• Confident use of enterprise systems - training management, ERP or financial tooling - for data entry, records and basic financial processing
• A proven customer-service record with internal staff, external entities and stakeholders
• Familiarity with a learning management system, including uploads and bulk schedule data
• Solid reporting and data skills, and fluent English in technical and user documentation
