Qualifications

• Excellent verbal and written communication in English and Spanish.
• Experience handling phone calls in patient-facing or healthcare support roles.
• Confident and professional phone demeanor, with appointment coordination.
• Highly organized and detail-oriented, able to manage multiple tasks.
• Able to work independently with clear status updates.
• Reliable remote work setup (computer, headset, stable internet).
• HIPAA knowledge or experience with HIPAA-compliant workflows.

Responsibilities

• Handle a high volume of inbound and outbound calls with patients, pharmacies, payer offices, and healthcare contacts.
• Communicate clearly in English and Spanish.
• Provide appointment reminders, follow-ups, rescheduling support, and general patient assistance.
• Answer routine patient questions and escalate concerns appropriately.
• Maintain a calm, patient-friendly tone with elderly or complex cases.
• Manage new and existing patient scheduling via phone, email, and text.
• Maintain provider calendars and prevent scheduling gaps or overlaps.
• Confirm appointments and manage cancellations, reschedules, and waitlists.
• Conduct pre-visit outreach and communicate next steps to patients.
• Document patient demographics, notes, and call outcomes accurately in the system.
• Verify patient eligibility and benefits before appointments; confirm copays and authorizations.
• Identify insurance issues early and communicate them clearly to patients and staff.
• Document verification results in EMR and trackers; escalate unresolved payer issues.
• Process referrals and ensure required documents are complete; initiate prior authorizations as needed.
• Track approvals/denials and follow up;Coordinate with payer/provider teams to avoid delays.
• Maintain daily administrative workflows and HIPAA-compliant handling of patient information.
• Provide proactive status updates and complete tasks with minimal follow-up.
