Overview
We are looking for someone special to become a vital part of the Workplace Experience (Facilities) team supporting and enhancing the employee and client experience in the UK Head Office. WX Assistants play an integral role ensuring the office and services are fit for purpose, compliant, sustainable, and cost‑effective. The role involves manual handling and heavy lifting.
Responsibilities
- Deliver high quality mailroom services by meeting all appropriate SLAs and providing a service that exceeds customer expectations.
- Contribute to the overall performance of the WX department and its ongoing continuous improvement.
- Continuously support a safe environment for employees and visitors by observing all Health and Safety legislation, company policy, and procedures.
- Undertake new starter Health and Safety inductions along with Display Screen Equipment and New Expectant Mother assessments.
- Carry out routine H&S checks throughout the office, including weekly floor walks and reporting on slips, trips, hazards, or other H&S issues.
- Implement and review Workplace procedures, policies and systems to meet business objectives, including support for agile working practices such as managing locker systems.
- Remain vigilant for security matters and support security policies via clear desk policy implementation, laptop security and spare key management.
- Procure goods and services within the budget, including stationery, office supplies, security consumables, keys and off‑site archiving.
- Support the Front of House team with meeting room set‑ups through continuous and proactive engagement.
- Maintain and deliver poster communications throughout the building.
- Provide multi‑skilled cover and support for the Workplace Helpdesk, ensuring delivery against internal SLAs.
- Assist with the preparation and implementation of internal or external events, ensuring rooms and facilities are presentable and in good working order to meet client requirements.
- Find ways to reduce incoming mail in support of ISO:14001 and ISO:27001 accreditations.
- Sort, scan and deliver post, parcels and general deliveries to the building and externally.
- Collect and process all outgoing post.
- Manage couriers.
- Represent the business as a First Aider and/or a Fire Marshal (training can be provided).
Qualifications and Skills
- Manual handling skills/training – desirable.
- First Aider/Fire Marshal – desirable.
- Experience working as part of a wider Workplace team and leading a mailroom environment – desirable.
- Solid administrative skills with close attention to detail.
- Strong customer service skills.
- IT skills and a good understanding of Outlook and MS Office.
- Professionally presented and well‑mannered.
- Attentive to client/customer service needs.
- Self‑starter who uses initiative.
- Ability to communicate clearly and effectively.
- Enthusiasm for working with people and a flexible approach to work.
