Job description

We are currently recruiting on behalf of a small but well-established organisation operating in the exhibitions sector. They are seeking a highly capable and adaptable Administrator to join their growing team. This is a pivotal position that plays a key role in ensuring the smooth execution of contracted shows, while providing essential support to the Technical Director and Managing Director.

This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced, dynamic environment where no two days are the same. The successful candidate will be organised, detail-oriented, and thrive under pressure.

Key Responsibilities

Review technical correspondence and documentation with accuracy and efficiency.

Inspect and manage incoming space plans and technical drawings.

Coordinate and maintain show schedules, task lists, and project milestones.

Communicate with exhibitors and stakeholders to ensure timely submission of key documents (e.g. H&S forms, plans, exhibitor response forms).

Create and manage internal documentation, including spreadsheets, reports, and meeting notes.

Maintain up-to-date records and databases, supporting accurate project tracking and compliance.

Support logistical needs including booking travel, couriers, accommodation, and meeting coordination.

Represent the business professionally via phone, email, and written correspondence.

Occasional travel to exhibitions

Flexibility to work outside standard hours during peak periods is essential.

What We're Looking For

Solid experience in administration, ideally within events, exhibitions, or a similar project-based environment.

Excellent organisational and multitasking skills with the ability to prioritise competing demands.

Exceptional attention to detail and strong written/verbal communication skills.

Competent with Microsoft Office Suite, especially Word, Excel, Outlook, PowerPoint, and Access.

Ability to work both independently and as part of a team.

Positive, proactive, and professional attitude with a flexible approach to workload and responsibilities.
