Team Assistant Job Description

A leading executive search firm are seeking a first or second jobber to join their warm, friendly and sociable team as a Team Assistant. You will work very closely with the Head of Operations and Marketing, and the Operations Manager, who both joined the business as PAs. You will then work closely with the team of EAs to assist with any overspill.

This is a great opportunity for long term progression within the business,they have said there will be the opportunity to progress into an EA role within the next two years, or you can progress on the operations side within the wider group.

Salary: circa £30Kdepending on experience

Team Assistant Key Job Responsibilities

This role will suit a flexible, hardworking and dedicated individual who has the enthusiasm and willingness to get to know the business, the clients and the candidates. They need a bright team player who will thoroughly enjoy a structured role with plenty of scope for creativity. You must be able to prioritise, be proactive, think ahead, anticipate problems and provide solutions in a high quality, client focused business.

  • Extensive weekly and monthly reporting (GDPR, due diligence, referencing, invoicing, candidate and client activity to name a few)
  • Assisting with the payroll process and ensuring government requirements are adhered to
  • Assisting in the onboarding and offboarding of employees, including enrolling them on the company's benefit schemes
  • Ensuring the employee database is kept up to date and all company policies are followed
  • Diary management and arranging meetings
  • Travel arrangements
  • Expenses
  • Preparing marketing materials and providing business development support
  • Managing all administrative aspects of the assignments as part of the assignment team
  • Preparation of CV’s and contracts amongst other materials, which can include audio & copy typing
  • Arranging interviews, client meetings, business development appointments and a variety of other appointments and meetings
  • Invoicing and credit control
  • Point of contact with central support functions; HR, IT, Accounts, Facilities
  • Assisting the Operations Manager with the day to day operations of the business and everything that entails. Working closely with them to streamline the company's systems and processes
  • Team Assistant support to the EAs who support fee earners and the referencing function
  • There will also be various other aspects of a traditional PA role
The Candidate

The ideal candidate will be an individual who is discreet, trustworthy and completely reliable, who can assume responsibility for managing all aspects of the referencing function, including client and candidate engagement and the assignment progress.

Organisation & Administration

Key skills and experience should include a combination of:

  • Excellent time management skills with the ability to prioritise workload effectively.
  • A high attention to detail ensuring work is produced accurately and of the highest possible standard.
  • First class organisation of own work and that of the Consultants and Fee-Earners – including diary management.
  • Highly efficient, flexible and able to change workload and prioritise in order to meet business needs.
  • Having confidence to manage the Consultants and Fee-Earners effectively – including their workload/calls/tasks and deadlines – as well as pre-empting what should be happening on assignments and flagging any upcoming issues.
Personal Attributes
  • High levels of common sense and integrity.
  • Articulate and able to express information clearly and confidently with all levels of personnel.
  • Demonstrate a cooperative and flexible nature – able to assist others in the Practice when required and be willing to go the extra mile when needed.

  • A reliable and trustworthy individual who can always be looked upon to complete work when required and communicate problems clearly.

  • Proactive in nature, able to assess the needs of each assignment. Able to take initiative but also not be afraid to ask for help when required.
Quality
  • Ability and desire to work to the very highest of professional standards.
  • Advanced knowledge of the MS Office suite, in particular Outlook, Word, PowerPoint and to a lesser degree Excel. Experience with databases preferred.
  • First class quality written work, being a beacon for accuracy and following best practice from which other can learn.
  • Being confident in making constructive suggestions to improve processes.
