Job Description
As the Team Administrator, you will play a crucial role in ensuring the effective coordination, compliance, and smooth delivery of our apprenticeship programmes. Reporting to the Head of Apprenticeships and Skills, you will work closely with apprentices, managers, training providers, and external organisations such as CITB, Ofsted, and the Department for Education.
The role also has a strong focus on apprentice wellbeing and safeguarding, requiring an articulate individual who is confident in handling challenging situations and able to provide appropriate guidance and support.
Key Responsibilities
- Provide administrative support across all apprenticeship activities
- Maintain accurate apprentice records (enrolment, attendance, progress, etc.)
- Support recruitment, onboarding, and induction processes
- Be the first point of contact for apprentice queries (email, phone, in-person)
- Follow up on welfare and safeguarding concerns
- Manage shared inboxes
- Track apprentice progression and flag any issues to the Head of Apprenticeships
- Coordinate training sessions, reviews, and End Point Assessments
- Help plan events such as award ceremonies, careers fairs, and workshops
- Ensure records and systems (e.g., DAS) meet compliance and audit standards
- Collaborate with site teams to ensure apprentices are fully supported on projects
- Continuously seek improvements in the apprenticeship experience
- Maintain confidentiality and data protection in line with GDPR
Essential
- GCSEs (or equivalent) in English and Maths
- Previous administrative experience (ideally in education, HR, or training)
- Excellent organisational skills and ability to manage multiple deadlines
- High attention to detail and strong data entry skills
- Confident communicator with a professional, approachable manner
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to work both independently and as part of a team
- Willingness to travel occasionally to sites or regional offices
Desirable
- Experience supporting apprenticeship programmes or working with apprentices
- Understanding of apprenticeship standards, frameworks, and funding
- Familiarity with Digital Apprenticeship Service (DAS) or similar platforms
- Experience in the construction or engineering sectors
