Job description

The Role

To support day to day site operations within the project.

Key Responsibilities

Perform a wide range of Office based tasks to include but not limited to or in any order of priority - the following:

  • Inputting Bilfinger safety data into Active (PASTA, Safe Card & Process Safety Card, Tool Box Talks, Briefings etc.)
  • Support site Payroll (weekly timesheets compilation & input on Mpower)
  • Collate and maintain the projects asset register including control & distribution of assets (sign-IN & OUT)
  • Meeting Room booking & buffets
  • Handling guests and clients i.e. sign & out register etc.
  • Managing and routing office communications (On-site project folders, CPP requirements).
  • Preserving project records - filling electronic and printed records
  • Managing & ordering stationary & consumables i.e. potable water/waste removal/office cleaning products/waste removal/milk round etc.
  • Goods receipt (GRN) notifications (Proof of Deliveries/Collection Notes etc.)
  • Various other duties to support the team, as required
  • Identify & record specific training requirements and manage the on-boarding tracker/matrix
  • Responsible for the on-site administrative duties i.e. IT requests, PPE/Clothing provisions, recoding issuance of PPE and office space.
  • Manage the data input to the Bilfinger competency management platform (ONBOARD) at a project level
  • Responsible for ensuring the administration between training providers and any on-site/contract personnel, AIS, ECITB and ONBOARD is managed effectively
  • Assist the Contract Safety Team for the coordination of internal comms and training
  • Be the focal point for all training requests for personnel on the Contract to meet BUK & NGT minimum requirements as well as any Core Competencies
