Job description

PrimaryCare Sheffield is looking to appoint a Service Coordinator to support the Sexual Health service, however support across our other services may be required on an ad hoc basis.

The successful applicant will takeresponsibility for proving high level administrative support to our operationalteams to achieve our motto of Right First Time. This role would suit someonewith extensive SystmOne,ERS knowledge , someone who is self-motivated andenjoys attention to details tasks. This is a responsible, varied andchallenging role which is suitable for someone who works well under pressure.

The role would be suitable for someone with experience ofworking in general practice as an administrator and/or receptionist as thisrole will also involve call handling in our other service which is operationalwhen GP practices are on training.

You will work closely with our Operational teams to ensure our administration functions support the services we operate.

Primary Care Sheffield (PCS) is a GP-led organisation. Our shareholders are 75 GP practices in Sheffield covering over 600,000 patients.

General practice working at scale through PCS enables us to:

Provide community sexual & reproductive health and gynaecology services outside of hospital

Improve the quality of GP referrals into secondary care with the provision of education, support and referral guidance to practices across ten outpatient specialities.

Provide evening and weekend appointments, 52 weeks-a-year, with GPs, nurses, physiotherapists and phlebotomists at 11 sites around the city.

Deliver workforce solutions, including first contact physiotherapists

Operate 24hr ECG and vasectomy clinics

MAIN DUTIES / RESPONSIBILITIES

To provide high level, professional andconfidential administrative support as part of an administrative team ensuringthe smooth, efficient and effective maintenance of administrative functions,raising any queries with senior colleagues to ensure these can be clarified

To be an effective communicator working with awide range of stakeholders from across the health and social care system tosupport PCS day to day business, ensuring that deadlines are met in the contextof competing priorities and complex agendas

To apply knowledge of administrative systems andprocedures to problem solve and where necessary develop alternative oradditional systems that support quality delivery of services

Using excellent communication, persuasion andnegotiation skills to receive and communicate complex and sensitive informationfrom and to a range of stakeholders across organisations using telephone,e-mail and face to face . This willinclude regularly receiving requests and demands from persons both external andinternal to PCS such as Directors/ Managers, GP practices, secretaries andpatients

Monitor progress and chase against identifiedactions within each service in addition to supporting any required actionsfollowing on from meetings and delegated duties

Escalate / direct specific issues to key individualswithin the wider PCS team as required, using knowledge of roles andresponsibilities within the members of the services

To develop and maintain excellent administrationsystems and manage all documentation in a systematic way using agreed processes

Assist in managing processes by providinginformation and analysis as appropriate

SCOPE AND RANGE

The post holder will be managed by a seniorcolleague but will be expected to act independently exercising sound judgement

The post holder will have to act autonomously inareas of the work seeking advice when necessary

The post holder will have regular 1:1s withline mangers to support ongoing development and review performance
