Job Summary

An exciting opportunity to join the pharmacy team at the Princess of Wales Hospital as a Logistics Senior Assistant. You will support the Logistics Manager and Senior Technician with all aspects of ordering, receipting, stock control and distribution of medicines, contributing to a seamless pharmacy logistics service.

Working Pattern

Full‑time 37.5 hours (Mon‑Fri 8:30‑17:00) or part‑time, hours agreed with the post holder.

Responsibilities
  • Support the Logistics Manager and Senior Technician with ordering, receipting, stock control and distribution of medicines.
  • Manually handle and move pharmacy goods within the department.
  • Troubleshoot the automated pharmacy dispensing system, identify and resolve faults and take appropriate action.
  • Accurately receive pharmaceuticals, check documentation, input data onto Wellsky and forward paperwork to Pharmacy Finance Office for invoice processing.
  • Create, review and process orders to nominated suppliers in accordance with UHB standing financial instructions and Pharmacy Standard Operating Procedures.
  • Communicate with suppliers to ensure timely and accurate supplies, and refer any supply issues to appropriate staff.
  • Oversee receipt and storage of medicines into the robot, prioritise loading and resolve loading issues, reporting to the Logistics Management Team as needed.
  • Investigate and record stock discrepancies, return incorrect or damaged deliveries to suppliers to obtain financial credits.
  • Check expiry and short‑dated stock records, remove items that expire, issue to waste, and request re‑orders when required.
  • Participate in induction and training of pharmacy assistants, pre‑registration technicians and new staff, demonstrating duties.
  • Act as first‑line troubleshooter for the dispensing system, conduct routine robot stock maintenance, and provide training to all levels of robot users.
  • Conduct rolling cycle counts of ward automated cabinets, adjust stock levels, report discrepancies and provide training on robot and cabinet use.
Person Specification
Qualifications
  • NVQ Level 2 in Pharmacy Services or commitment to attain.
  • English and Mathematics GCSE to Level C or above.
  • Knowledge of procurement/supply‑chain management or invoicing through NVQ Level 3 or equivalent.
Experience
  • Experience in a procurement / supply‑chain management environment.
  • Experience with computerised / automated systems.
Skills & Abilities
  • Strong written and verbal communication skills.
  • Ability to prioritise routine tasks, organise workload and work under pressure.
  • Ability to train and supervise others.

Desirable

  • Familiarity with drug names/pharmacy terminology and document management.
