Job description

To work within the Safeguarding Team providing comprehensive, efficient and confidential administrative support within the Multiagency Safeguarding Hub (MASH) nursing team in accordance with departmental, trust and national standards, policies and procedures.

Main duties of the job

To ensure all administrative duties are carried out in line with the local policies and StandardOperating Procedures.Excellent communications skills to deal regularly with sensitive, often distressing and highly confidential safeguarding information.Work unsupervised or with a minimum of supervision on a daily basis.To provide administration duties in a professional, polite and timely manner with attention to providing customer care of the highest standard internally and externally to the organisation.To assist and/or proactively deal with safeguarding enquiries and information requests including:message taking, conveying messages verbally and/or transferring calls, checking individual outlook calendars, whilst maintaining confidentiality at all times.To respond to all emails, correspondence and telephone calls and liaise with other internal and external departments within the Trust in a friendly and professional manner, when assigned to that task.To provide administrative support to meetings including preparing agendas, taking accurate minutes and updating action plans at relevant meetings as accordance with Trust guidelines.To organise meetings, including ad hoc meetings; booking rooms/venue, calendar invitations, liaising with a wide range of professionals and their support staff.To Take lead on data collection and analysis of this regarding health activity within MASH .

Job responsibilities
  • To ensure all administrative duties are carried out in line with the local policies and Standard Operating Procedures.
  • To provide comprehensive administrative support including: word processing, formatting documents, data research, data input, filing, scanning, typing, photocopying, booking rooms, ordering stationary,saving documents as instructed, and ensuring any follow up actions are taken as directed by the Senior Safeguarding Administrator.
  • Excellent communications skills to deal regularly with sensitive, often distressing and highly confidential safeguarding information. This may be with staff and stakeholders for example face to face, via telephone and email.
  • Work unsupervised or with a minimum of supervision on a daily basis.
  • To provide administration duties in a professional, polite and timely manner with attention to providing customer care of the highest standard internally and externally to the organisation.
  • To assist and/or proactively deal with safeguarding enquiries and information requests including:message taking, conveying messages verbally and/or transferring calls, checking individual outlook calendars, whilst maintaining confidentiality at all times.
  • To check the shared inboxes for work streams and respond to any general enquiries using the standard emails, or escalate to a member of the team as appropriate.
  • Consistent and regular review of the secure NHS Mail Account to ensure information is dealt with promptly.
  • To respond to all emails, correspondence and telephone calls and liaise with other internal and external departments within the Trust in a friendly and professional manner, when assigned to that task. To assess the nature and urgency of all telephone calls, taking detailed messages and escalating to team members.
  • To provide administrative support to meetings including preparing agendas, taking accurate minutes and updating action plans at relevant meetings as accordance with Trust guidelines.
  • To organise meetings, including ad hoc meetings; booking rooms/venue, calendar invitations, liaising with a wide range of professionals and their support staff.
  • To Take lead on data collection and analysis of this regarding health activity within MASH and be able to present this to appropriate practitioners and management.
  • Assist the administration team with greeting visitors to the department and notify the appropriate member of staff
  • To ensure that security in the work environment is maintained, locking doors and windows, challenging unknown persons who enter the work area and by wearing the Trust identity badge at alltimes whilst at work.
