Receptionist / Business Administrator

We are delighted to be working on a brilliant Front of House and Business Support position with a global investment firm undergoing an exciting period of growth and change. This role sits at the heart of the business, offering variety, pace, and strong exposure across internal teams. You will be joining a friendly, collaborative, low-ego environment where everyone is willing to pitch in and support one another.

THE ROLE

This position combines classic Reception responsibilities with wider Business Administration support across the office. Day-to-day will include the following tasks:

  • Managing reception: answering calls, greeting guests, preparing meeting rooms
  • Supporting candidate interviews and assessments
  • Ensuring security procedures are followed for all visitors
  • Supervising contractors and maintaining relevant records
  • Office diary management, including booking meeting rooms and coordinating events
  • Liaising with contractors and suppliers
  • Organising internal and external events
  • Assisting with ad hoc project work for various teams
  • Managing office expenses, purchase orders, petty cash, and invoices
  • Daily interaction with cleaners, suppliers, and building management
  • Procurement across departments such as stationery, catering, facilities, and IT
  • Managing post, deliveries, couriers, and taxi bookings
  • Updating office management procedures and maintaining accurate records
  • Booking travel and creating itineraries for staff trips
  • Managing gym attendance tracking
  • Procuring and creating branded materials
  • Supporting the office as qualified First Aiders and Fire Wardens

The successful candidate will hold a minimum 2:1 degree (or international equivalent) and bring strong academic foundations. You will have excellent administrative capability, strong digital literacy, and confidence using Outlook, Word, Excel, and PowerPoint. Fast typing skills, the ability to learn new tools quickly, and a comfort with automation or streamlining processes are highly valued. You will have exceptional attention to detail, the ability to manage multiple priorities at pace, and a friendly, enthusiastic, and professional manner. Strong written and verbal communication skills are essential. A calm, discreet, and confident nature is key, alongside initiative, problem-solving ability, and a proactive, collaborative approach. Someone who is organised, adaptable, and thrives in a fast-moving environment will excel in this role.
