Job description

Duties and Responsibilities

As Programming Assistant, I will assume full responsibility for the efficient operation in the following:

  • Oversee the management and execution of events, including content creation, organization, and administration through the PeopleVine system.
  • Track attendance, engagement, and post-event insights, ensuring member follow-ups and personalized outreach for those who did not attend.
  • Gather event details, images, and blurbs from speakers and practitioners, making sure we always have the right words and visuals to inspire our community when we market the events.
  • Upload events onto PeopleVine, ensuring our members and guests can easily see what’s coming up.
  • Work closely with our Marketing and Front of House teams to make sure events are promoted across all our channels, from the app to the in‑house displays.
  • Manage payments and invoices for our wonderful roster of cultural hosts.
  • Prepare post‑event reports, collating feedback, and data on performance to help shape and improve future programming.
  • Support the Programming Director with day‑to‑day coordination and admin.
  • Participate actively in all pre‑opening team training, test events, and launch rehearsals to ensure readiness.

Qualifications

To execute the position of Programming Assistant, I believe I am:

  • Naturally organized, reliable, and able to juggle multiple moving pieces in a fast‑paced environment.
  • A clear communicator with an eye for detail, especially when it comes to scheduling, marketing copy and event descriptions.
  • Comfortable working with event or CRM software (experience with Amadeus Delphi and PeopleVine is a big plus, but not essential if you’re quick to learn).
  • A collaborative spirit, you enjoy working with different teams and building great relationships.
  • Passionate about cultural programming, hospitality, and creating memorable guest experiences.
