THE ROLE

Strathberry is seeking a highly organised and proactive Production Coordinator to support the delivery of all photography and video shoots across campaign, e-commerce, brand and social channels.

Reporting to the Brand Director, this role manages the operational running of production within the Creative function. The Production Coordinator oversees logistics, timelines, workflows and communication between internal teams and external partners, ensuring shoots run smoothly and assets are delivered on time and to a high standard.

This role is pivotal in enabling the Creative team to focus on direction and execution by ensuring that everything behind the scenes – schedules, samples, logistics, tracking and post‑production flow – is handled with precision.

This role also centralises operational ownership of all sample trafficking and prop management across the business, ensuring consistency, visibility and control across departments.

Please note: This is a full‑time, permanent position based in Edinburgh. We are currently operating a hybrid working approach with a minimum of 3 fixed days required each week working from our beautiful Townhouse in Edinburgh City Centre.

KEY RESPONSIBILITIES
Production Coordination
  • Coordinate day‑to‑day logistics for e‑commerce, social, and brand shoots, including scheduling, call sheets, travel and production documents.
  • Manage the centralised content calendar, ensuring priorities are clearly communicated across Creative, Marketing, PR and E‑commerce.
  • Translate internal briefs into detailed shot lists, ensuring clarity on deliverables.
  • Track progress of production and post‑production deliverables, escalating risks where required.
  • Support production budgeting and cost tracking, ensuring accurate supplier invoicing.
  • Liaise with model agencies, photographers, stylists, freelancers and suppliers under guidance of the Brand Director and Co‑Founder & Creative Studio Director.
Prop & Styling Support
  • Source, purchase and organise props for all e‑commerce, brand and campaign shoots.
  • Manage prop budgets, receipts and returns, ensuring cost‑effective decisions and alignment with brand aesthetic.
  • Coordinate prop delivery, unpacking, repacking and storage, ensuring items are shoot‑ready and properly logged.
  • Collaborate with Stylist to ensure all props and accessories required for shoots are prepared ahead of time.
Sample & Asset Management
  • Own all sample movement across the business, including PR loans, press pulls, e‑commerce shoots, social content and campaign requests.
  • Maintain an accurate, real‑time sample log covering all departments.
  • Coordinate sample pickups, returns, courier bookings and condition checks.
  • Ensure samples are tracked, labelled and stored systematically with full visibility for all relevant teams.
  • Partner with the Stylist on sample preparation and styling needs for shoots.
  • Partner with Product Development to align sample availability with production timelines.
Asset Archiving
  • Oversee digital asset archiving and distribution, ensuring files are correctly saved, named and shared with relevant teams and channels.
  • Perform initial quality checks on incoming assets and flag any issues for retouching or reshoots when necessary.
Shoot Support
  • Lead on‑set production for BAU, e‑commerce, still life and social content shoots.
  • Support the external creative producer on campaign shoots, managing logistics, tracking and flow of deliverables.
  • Coordinate catering, travel, accommodation and crew needs.
  • Consolidate and manage asset requirements from key stakeholders to ensure alignment ahead of shoots.
  • Own the master rollout document for campaign and seasonal shoots, ensuring visibility across all departments.
  • Risk and Compliance:
  • Lead the preparation of risk assessment documentation for all shoots, ensuring required information is captured and shared with relevant internal stakeholders.
  • Coordinate insurance certificates, permits and location requirements in partnership with the Brand Director or external Creative Producer.
  • Ensure all production activities comply with internal health and safety protocols and any venue‑specific guidelines.
Collaboration & Process
  • Work closely with the Brand Director and Co‑Founder & Creative Studio Director to ensure alignment between creative direction and operational delivery.
  • Maintain production templates such as call sheets, shot lists, budgets and standardised processes.
