Responsibilities
  • Provide professional reception service and maintain confidentiality at all times.
  • Book appointments with the most relevant clinician and complete daily administration tasks using the surgery’s computer systems (EMIS, Docman, Footfall, email).
  • Work a shift rota that includes 07:30 starts and 18:30 or 20:00 finishes.
  • Deal politely and efficiently with all patient queries via telephone, face‑to‑face and online booking portals.
  • Ensure Care Navigation is carried out for each appointment and triage request.
  • Book home visit triage requests, gather all necessary information, and forward it to the GP.
  • Deal with prescription requests and forward them to the relevant GP for action.
  • Scan any correspondence received into the surgery’s system.
  • Receive and distribute messages to all staff within the surgery, ensuring relevant information is forwarded.
  • Deal tactfully and sensitively with patients, relatives and other visitors.
  • Follow the opening‑up and closing‑down process for the surgery.
  • Participate in the staff rota, including early and late duties as required.
  • Adapt to any changes in administrative procedures.
  • Ensure the confidentiality of all patient information at all times.
  • Cover for other colleagues in absence, including sickness and annual leave.
