About the Role

The main purpose of this role is to provide comprehensive administrative support to the Plant and Transport function, ensuring the company\'s HGV fleet and associated assets operate in full compliance with DVSA regulations and internal policies.

This role is pivotal in maintaining accurate and up-to-date records for vehicles, drivers, and plant equipment, coordinating inspections and maintenance, managing hire and off-hire processes, and supporting incident and defect reporting.

The Transport Administrator plays a key role in ensuring operational efficiency, legal compliance, and the safe, effective delivery of services across the company.

Key Responsibilities
  • Carry out any tasks as required from time to time to meet the needs of the business.
  • Maintain up to date records for all HGV\'s, including PMI, MOT and Tacho paperwork.
  • Ensure all vehicle files meet the DVSA requirement.
  • Monitor vehicle O-licence requirements.
  • Schedule and track vehicle inspections - Liaising with Drivers to ensure vehicle is at correct location for inspection.
  • Monitor and track plant and asset allocation, monitoring breakdowns, change of user, loss or damage.
  • Check company systems against Live hires and location.
  • Check and act on Daily vehicle checks and Defects.
  • Ensure all vehicle defects are reported, recorded and rectified in a timely manner.
  • Act as additional point of contact regarding defects with plant & vehicle defects (Service, Oil changes, etc.)
  • Process departmental Invoices querying against wear and tear.
  • Hire vehicle updates Mileage/Tail lifts updates.
  • Help with Road Traffic Accident claims by gathering details, speaking to 3rd parties, extracting vehicle camera footage.
  • Chase quotes on Road Traffic Accident Damages.
  • Process departmental Invoices Daily.
  • Update vehicle suppliers with hire mileage weekly.
  • Coordinate vehicle hires, returns and off hire inspections.
  • Allocate vehicle Fines including speeding, parking and bus lane fines.
  • Add vehicles to the insurance New and Temporary.
  • Provide general support to the Plant and Transport Manager.
  • Rota to cover out of office phone calls - to be determined by the Head of Plant & Transport.
  • Any other reasonable tasks required from time to time to meet the needs of the business.
