Personal Assistant (12 Month Secondment / FTC)

Location: London, Pancras Square

Introduction to role

Are you ready to make a significant impact by providing high-level administrative support to four Senior Leadership Team members at AstraZeneca UK? As a Personal Assistant, you'll be at the heart of our operations, ensuring seamless collaboration within our dynamic administrative group. Your role will be pivotal in maximizing efficiency and time management, allowing our leaders to focus on what they do best—driving innovation and excellence.

Accountabilities

In this role, you'll be responsible for a variety of tasks that keep our leadership team running smoothly. From comprehensive diary management to organizing meetings and managing email correspondence, your attention to detail and proactive approach will be key. You'll research travel options, manage expenses, and act as a liaison between Directors and business units. Your ability to anticipate needs and solve problems will ensure that our leaders can focus on their strategic goals. You'll also play a crucial role in onboarding new starters and supporting ad hoc projects, all while maintaining confidentiality and discretion.

Essential Skills/Experience
  • Prior experience operating in Personal Assistant role supporting multiple stakeholders
  • Educated to GCSE Level Standard or equivalent
  • Advanced knowledge of Microsoft Office to include Outlook, Word, PowerPoint and Excel – in particular, in-depth knowledge of Outlook and multiple calendar sharing/owning
  • Advanced use of Microsoft Teams and Zoom technology
  • Advanced typing skills
  • Flexibility and positive attitude
  • Self-starter, able to prioritise own workload, work unsupervised and use own initiative to solve problems
  • Able to perform effectively under pressure
  • Focus on quality and attention to detail
  • Maintains confidentiality and deals discretely with sensitive information at all times
  • Advanced verbal and written communication and interpersonal skills
  • Advanced word processing skills, extensive knowledge of Microsoft office packages and able to design and create high quality PowerPoint presentations
  • Proven track record of project coordination
  • Experience of organising complex meetings and complex diary management
  • Experience of exercising judgement to make decisions when appropriate
Desirable Skills/Experience
  • University Degree
  • Knowledge of the pharmaceutical industry or private industry
  • Experience of Pharma regulatory processes and ways of working
  • Knowledge of AstraZeneca and the UK Marketing Company (AstraZeneca UK)
