Overview

Role: PA - Fixed Term Contract
Location: London West End - (hybrid, 4 days in office)
Salary: up to £45k p/a

We are seeking a highly organised and proactive Personal Assistant to join a boutique Executive Search firm on a fixed-term contract for up to 12 months. This is an exciting opportunity to work within a fast-paced, international environment, supporting a team including partners. You will be responsible for diary management, scheduling meetings, travel coordination, formatting documents and office management.

Key Responsibilities
  • Proactively manage complex diaries and schedule internal and external meetings.
  • Liaise confidently with clients and candidates across timezones.
  • Arrange international travel, including flights, visas, and detailed itineraries.
  • Prepare, format, and proofread reports, presentations, and CVs to a high standard.
  • Support the team with planning and coordinating events.
  • Handle front-of-house duties: welcoming guests, preparing meeting rooms, and managing couriers and deliveries.
  • Maintain and update the internal database to ensure accuracy and efficiency.
  • Provide ad hoc administrative support and assist with the smooth day-to-day running of the office.
Who you are
  • Proven experience supporting senior-level executives, ideally within professional services or executive search.
  • Advanced proficiency in Microsoft Office Suite.
  • Strong working knowledge of CRM systems and database management.
  • Excellent written and verbal communication skills, with meticulous attention to detail.
  • Highly organised, with the ability to manage multiple priorities effectively.
  • Proactive self-starter with a collaborative approach and strong initiative.
