There is an exciting opportunity to join Bellway, one of the UK’s largest house builders. Our Kent division, located in West Malling is looking to recruit an Office Manager and PA to the Managing Director to join the team.

The Role

Principal accountabilities of the PA / Office Manager to the Managing Director role include :

  • Full P. A support to the Managing Director.
  • Preparing paperwork for Managing Director as required / meetings etc.
  • First point of contact to deal with correspondence and telephone calls, ensuring urgent messages are actioned immediately.
  • Secretarial support such as typing up correspondence, diary management and organising meetings.
  • Effective liaison with Management Team on an ongoing basis, as required.
  • Full diary management; managing both work & personal appointments.
  • Minute meetings, type up notes and present in a professional format.
  • Dictation and the ability to send emails on behalf of the Managing Director.
  • Proofreading correspondence and ensuring a high level of detail to all aspects of the role.
  • Prepare monthly reports, collating information from various departments such as board reports and payroll information for the Division.
  • Support the Managing Director with Human Resources administration including the recruitment process, processing new starters & leavers, as well as maintaining attendance records for the Division, including holiday, sickness and attendance records.
  • Maintain efficient filling and archive systems for the Managing Director and for employee records.
  • Confidentiality and Discretion is a key part of this role
  • Organise meetings and staff training as and when required.
  • Liaise with secretaries at Group and other Divisions.
  • Overseeing Reception, including liaising with the Receptionists.
  • Ensuring the general office facilities are intact, ordering of new computers, phones including mobile phones for Site Staff. Fire Risk Assessments, PAT testing, etc.
  • Running errands / ad hoc tasks where required.
Experience, Qualifications and Skills
Experience
  • Experience of working in a secretarial / PA role supporting Senior Director level roles.
  • Comfortable working within a fast-paced working environment. This is a fast-paced role, best suited to those who prefer a varied and busy workload.
  • Ability to prioritise workload according to MD / Divisional demands.
Qualifications and Training

GCSE Maths and English – Grade 4 / C or above (or equivalent)

  • Excellent administration and organisation skills.
  • Strong communication and listening skills.
  • Ability to prioritise workload according to MD / Divisional demands and meet tight deadlines.
  • Comfortable working within a fast-paced working environment.
  • Demonstrates a high level of discretion and confidentiality.
  • Ability to work on own as well as part of a team.
  • Proficient IT skills along with a good working knowledge of Microsoft Office (Outlook, Word, Excel and outlook) and the ability to adapt to new systems.
