Overview

Our client is looking for a proactive and well‑organised Operations & Accounts Assistant to join their team. This role is primarily focused on supporting the day‑to‑day operational running of the business, helping to keep processes, orders, stock, site activity, and internal coordination running smoothly and efficiently. Alongside this operational focus, the role will also provide light accounts and finance support, assisting with invoicing, purchase orders, basic record‑keeping, and CRM data input in support of the wider finance and sales teams. Over time, as the business continues to grow, the role is expected to develop further into a more operations‑led position. This is a varied, hands‑on role suited to someone who enjoys structure, coordination, and being at the centre of activity, supporting multiple teams and helping ensure nothing slips through the gaps.

Key Responsibilities
Operations, Orders & Internal Coordination
  • Book and process customer orders accurately and in line with company procedures.
  • Track order progress, liaise with the operations team, and ensure customers receive timely updates as well as monitor outgoing shipments and stock availability to support reliable delivery schedules.
  • Coordinate logistics with suppliers for deliveries, collections, and stock movements along with preparing documentation, schedules, and materials required for site activity.
CRM & Account Administration
  • Input, maintain and update customer information in the CRM system to ensure account records remain accurate, are completed promptly, and up to date.
  • Assist with customer communications, follow‑ups, and account‑related queries.
  • Produce internal reports covering orders, stock levels, and fulfilment status.
Customer, Site & Event Support
  • Carry out routine customer check‑in calls and emails to ensure satisfaction with service and deliveries.
  • Attend site visits where required to meet customers, gather feedback, and support ongoing relationships to ensure any agreed actions are completed.
  • Support attendance at trade shows, exhibitions, and industry events.
Stock, Samples & Demo Kit Organisation
  • Prepare, check, and maintain demo kits for client visits, site activity, and presentations.
  • Process incoming sample requests promptly, ensuring correct details are logged and stock is prepared.
  • Coordinate the dispatch of samples, tracking delivery and confirming receipt with customers.
Accounts & Finance Support
  • Perform basic accounts tasks including processing receipts, logging payments, and updating records.
  • Support the preparation and issuing of invoices and day‑to‑day accounting activities.
  • Assist with reconciling orders against invoices and raising purchase orders where required to help maintain organised and accurate accounts documentation.
  • Support month‑end preparation by gathering documents, updating spreadsheets, and checking figures.
  • Liaise with customers regarding invoice queries and supporting documentation.
Marketing & Business Support
  • Provide financial, customer, and order data to support marketing campaigns and reporting.
  • Assist with campaign follow‑ups, customer communications, and event preparation.
  • Help gather customer feedback, testimonials, and case‑study inputs.
General Support
  • Provide general assistance to the operations, sales, and accounts teams.
  • Help schedule internal meetings, external appointments, and site‑related activities as well as manage incoming calls, emails, and daily correspondence.
  • Support ongoing improvements to processes, documentation, and workflows.
Skills & Experience Required
  • 3+ years' experience in an operations or business support role, with some exposure to accounts or finance‑related tasks.
  • Experience supporting day‑to‑day operations, order processing, coordination, and internal processes.
  • Basic accounting experience, including invoicing and record‑keeping; exposure to reconciliations and month‑end support is desirable.
  • Experience using business systems, including CRM platforms; experience with accounting software is advantageous.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines as well as a confident communicator, comfortable working with both customers, internal teams and external suppliers.
  • Proactive, detail‑oriented, and able to work independently while supporting a wider team.
  • Experience in construction, infrastructure, or other technical environments is advantageous.
