Job description

Daytime Healthcare are assisting an established high-end GP Practice in Mayfair, who are seeking a Medical Executive Assistant to join them.

This surgery have renounced doctors (one who has been a regular on tv) and have high net-worth clientele. There is an excellent working environment and the chance to progress.

You must be very well presented, have good telephone and written skills / experience. You should also have excellent organisational skills. You should have similar Healthcare Medical Secretary experience to be considered.

Key Responsibilities :
1. Administrative & PA Support
  • Manage doctors' diaries, appointments, correspondence, and medical notes.
  • Coordinate consultations, meetings, and follow-up actions.
  • Handle patient registration, referrals, and results in line with GDPR and practice procedures.
  • Answering calls, responding to emails and messages, and clinic opening / closing duties.
  • Maintain a safe, compliant workplace with proper stock and resource management.
2. Patient Liaison
  • Act as first point of contact for patient queries and appointment coordination.
  • Guide patients through tests, referrals, and private insurance processes.
  • Ensure timely follow-up and resolution of concerns, supporting a seamless patient experience.
3. Results, Referrals & Records
  • Track and process test results, referrals, and external communications.
  • Maintain accurate patient records in compliance with GDPR and CQC standards.
4. Compliance & Documentation
  • Support audits, inspections, and regulatory adherence where needed.
  • Follow and promote practice policies and procedures.
5. Financial Processing
  • Process payments
  • Liaise with the accounts team to ensure accurate reporting and financial protocol adherence.
6. Operational Support
  • Oversee clinic stock.
  • Identify and resolve day-to-day operational issues.
  • Contribute to continuous service improvement and workflow efficiency.
7. Service Promotion
  • Support retention and satisfaction by promoting additional services.
  • Gather and share patient feedback to enhance the practice offering.
Key Skills & Experience :
  • PA / administrative experience in private healthcare or similar customer focused setting.
  • Excellent communication and teamwork, with a proactive, patient-focused approach.
  • Financial accuracy in processing payments, and recordkeeping.
  • Familiarity with GDPR, CQC, and clinical confidentiality protocols.
