Overview
West Heath Surgery is a forward thinking and innovative GP practice within West Heath, Birmingham. As part of the SDSmyhealthcare federation, the role of Medical Administrator is vital in delivering a first class service to our patients.
The role involves developing a professional rapport with patients to help resolve health needs and queries, making appointments across multiple clinics, completing administrative workflow tasks within clinical systems, and providing administrative support to clinicians and managers to ensure high quality patient care.
Responsibilities
- Act as the first point of contact for patients and a focal point of communication between patients, doctors and other medical staff.
- Provide administrative support to clinicians and managers; manage administrative workflow tasks on the clinical system.
- Make appointments and manage booking across clinics; handle requests for home visits; take messages; process all forms of patient-related communications.
- Maintain tidy work areas and manage cash handling as required.
- Assist with onward management of patients (e.g., booking further appointments, referrals) and assist clinicians as a chaperone where required.
- Promote excellent customer service and respond to enquiries in a professional manner.
Qualifications and Experience
- Essential: GCSE English grade C or above.
- Essential: Previous experience of working in an office environment.
- Desirable: Previous medical receptionist experience; experience of using EMIS Web software.
- Desirable: RSA II typing/word processing or equivalent; basic understanding of Microsoft Office packages.
Skills
- Proficient in reading and writing English; able to receive and issue instructions clearly.
- Strong organisational skills with the ability to maintain complete and accurate record systems.
- Ability to work under own initiative and prioritise workload to meet deadlines.
- Excellent customer service and good interpersonal skills; good telephone manner.
- Knowledge of confidentiality and Data Protection Act; basic knowledge of Microsoft Word; knowledge of the local area.
Personal Qualities
- Willingness to work flexibly and cooperatively with colleagues.
- Ability to work as part of a team or on own initiative; able to cope with change and work under pressure.
- Reliable, with good time-keeping; friendly and approachable.
- Willingness to undertake a DBS check and training.
