Job summary

A regional healthcare provider in Bristol is seeking a Materials Management Assistant to join their dynamic team. You will be responsible for managing the replenishment of a wide range of hospital consumables and ensuring the cleanliness of storage areas. Successful candidates will have strong communication skills, numerical skills, and knowledge of supply chains. Experience in a customer-facing role is desirable, and you must be computer literate. Shifts are rotational from Monday to Friday, covering service hours of 7:00 to 17:00.

North Bristol NHS Trust Are Seeking To Appoint a Materials Management Assistant To Join Our Dynamic Team. Working Predominantly On Your Feet In Busy Clinical Environments Including Within The State Of The Art Brunel Building, You Will Be Part Of a Team Managing The Replenishment Of a Wide Range Of Hospital Consumables.

  • Generating orders based on established PAR levels.
  • Checking and unpacking deliveries.
  • Ensure cleanliness and upkeep of storage areas.
  • Working across the NBT site in a number of different locations.

You must have knowledge of supply chains, be well organised, have the ability to use your own initiative and work within agreed guidelines. Good numerical skills and attention to detail will also be required. Experience of working in a supply chain role, with membership or training for CIPS or HCSA would be desirable.

Applicants must be educated to GCSE standard and be computer literate, with a decent knowledge of Microsoft Word and Excel. We are a customer focused team, therefore good communication skills are required, as well as a strong team ethic.

You will become part of a team of staff covering the Southmead Hospital site. Shifts will be allocated on a rotational basis across the team to cover the service hours of 7:00 to 17:00, Monday to Friday; as such you must be available to work any 7.5 hour shift within those hours.

Main duties of the job
Knowledge
  • Educated to GSCE ‘O’ level/ONC standard in English and Mathematics.
  • Proficient with PC, with knowledge of Microsoft Office packages e.g., Outlook, Word and Excel.
Training
  • Good inter-personal skills and the ability to communicate clearly and effectively, daily at all levels i.e., with management, members of staff, service stakeholders, BWPC staff, service end users, Trust clinical staff, local budget holders and suppliers.
Experience
  • Experience within a supply chain/logistics environment.
  • Experience within a customer facing role, such as retail or hospitality.

Detailed Job Description And Main Responsibilities
  • Replenish goods at ward, theatre and departmental level using bar code systems as appropriate, adhering to PAR levels implemented by the Supply Chain Analyst.
  • Assist Trust clinical staff, end users and local budget holders with maintaining optimum stock levels for all departments ensuring an optimum inventory within the system.
  • Establish clear priorities, highlight trends, initiate any corrective action, and carry out any special exercises as required to ensure the integrity of the materials management process. Report all exceptions to the Supply Chain Analyst as appropriate.
  • To adhere to the scanning schedule issued by the Supply Chain Analyst at all times.
  • Maintain and update labelling and records both electronically, and in physical materials management locations. This includes responding to all product conversions before further scans of an affected area are carried out.
  • Support the implementation of e-procurement including electronic catalogues and inventory management.
  • Ensure deliveries of goods are accurate, on time and stored in a professional manner.
  • Provide monthly stock count figures to all requisition points designated when required.
  • Ensure the cleanliness of all storerooms managed by the MM service and that all waste generated by unpacking a delivery is disposed of appropriately.
  • Process purchase orders and assist with the purchasing process as necessary.
  • Assist with the maintenance of records and the provision of statistical information as required. Ensure that all templates are accurate and up to date at all times.
  • Answer the telephone; take messages and action as appropriate.
  • Attend team meetings and feedback sessions as requested.
  • Regular interaction with the AGV system, both as a user, and to ensure service continuity.
  • To ensure that expired and wasted stock is logged with the value recorded as applicable.
  • Resolve day to day materials management queries raised by wards, theatres, or departments.
  • Chase outstanding orders by liaising with procurement or directly with the supplier.
  • Operate office equipment provided appropriate to the task allocated.
  • To ensure all goods ordered are on EROS, and all staff requesting new products do so via appropriate channels.
  • Be prepared to move to new areas of responsibility when asked to do so by the Supply Chain Analyst as part of rotation.
  • Process stock requisitions and returns to suppliers using the purchasing and supply computer system in accordance with the input timetable.
  • Chase outstanding orders by liaising with procurement and/or directly with the supplier in a timely manner and communicate information back affected service users.
  • Provide a high-quality materials management service and supply chain processing to meet the Materials Management Department’s service level to all customers.
  • Understand the various processes followed by the Materials Management Service in all departments.
  • Comply with all statutory regulations, procedures and Standing Financial Instructions as directed.
  • Undertake any other assignments allocated by the Supply Chain Analyst or Service Manager in the interests of the Materials Management Department’s service to all customers.
  • Provide cover for other Materials Management Assistants if and when required.
