Job Purpose:
The Lettings Negotiator is a sales-oriented role focused on maximising occupancy, closing deals quickly, and ensuring timely rent collection. The role requires strong persuasion skills, follow-up discipline, and the ability to convert enquiries into paying tenants while maintaining rent compliance across the portfolio.
This position directly impacts company revenue and cash flow.
Key Responsibilities:
Sales & Lettings (Primary Focus):
- Actively convert property enquiries into confirmed lettings.
- Handle inbound and outbound sales calls, WhatsApp messages, and emails.
- Conduct property viewings with a close-the-deal mindset.
- Negotiate rent, deposits, and move-in terms to maximise yield.
- Reduce void periods by securing fast move-ins.
- Upsell premium rooms, longer tenancies, and immediate move-ins.
Rent Collection & Revenue Control:
- Proactively follow up on rent due, late payments, and arrears.
- Send rent reminders via WhatsApp, email, and calls.
- Collect and track rent payments, balances, and arrears.
- Escalate non-payment cases as per company SOPs.
- Maintain accurate rent ledgers and payment records.
- Coordinate with tenants to clear outstanding balances promptly.
Tenant Conversion & Retention:
- Build urgency with prospective tenants to secure deposits and rent.
- Retain good tenants through renewals and re-letting discussions.
- Manage notice periods and re-let rooms efficiently.
- Support smooth check-ins to avoid payment delays.
Administration & Compliance (Sales Support):
- Ensure Right to Rent checks and initial compliance are completed.
- Coordinate with inventory, cleaners, and maintenance teams to enable fast lets.
Key Performance Indicators (KPIs):
- Number of successful lets per month.
- Rent collected vs rent due (%).
- Arrears reduction rate.
- Average void period per property.
- Conversion rate (enquiry → viewing → let).
- Renewal and retention rate.
Skills & Experience Required:
Essential:
- Proven experience in sales, lettings, or rent collection.
- Strong negotiation and persuasion skills.
- Confidence in chasing payments and handling objections.
- Excellent phone and WhatsApp communication skills.
- Target-driven and performance-oriented mindset.
- Ability to handle pressure and difficult conversations.
Desirable:
- Experience in property lettings, HMO portfolios, or rent arrears management.
- Knowledge of UK rental processes and AST basics.
- Familiarity with CRM systems, rent ledgers, or property software.
