Job description

Our client is seeking a Legal PA to provide comprehensive administrative and secretarial support to lawyers and legal teams, ensuring the smooth and efficient running of the office.

This role requires proficiency in digital dictation and experience with BigHand, Proclaim experience would be advantageous.

Key Responsibilities
Administrative Support
  • Manage diaries and schedule appointments.
  • Organise meetings, booking venues and arranging refreshments.
  • Handle travel arrangements and itineraries.
Document Management
  • Prepare and format legal documents, correspondence, and reports.
  • Conduct digital dictation using BigHand software to transcribe dictations accurately and efficiently.
  • Maintain and update filing systems, both electronic and paper-based.
Client Interaction
  • Act as the first point of contact for clients, both in person and on the phone.
  • Handle client queries and direct them to the appropriate person or department.
  • Ensure client confidentiality and handle sensitive information with discretion.
Communication
  • Draft and proofread emails, letters, and other communications.
  • Liaise with internal and external stakeholders to coordinate activities and relay information.
Team Support
  • Assist lawyers and legal teams with case management and administrative tasks.
  • Organise and maintain client files and case notes.
  • Support the billing process by preparing invoices and managing expenses.
Office Management
  • Monitor and order office supplies.
  • Ensure office equipment is maintained and serviced as necessary.
  • Perform general clerical duties such as photocopying, scanning, and faxing.
Essential Skills and Experience
  • Digital Dictation: Proficiency in digital dictation systems, specifically BigHand.
  • Secretarial Skills: Strong administrative and secretarial skills, with attention to detail.
  • Legal Knowledge: Understanding of legal terminology and processes.
  • Communication: Excellent verbal and written communication skills.
  • Organisation: Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Technology: Competent in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software. Proclaim knowledge advantageous.
  • Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
Desirable Skills and Experience
  • Previous experience as a Legal PA or Secretary in a law firm.
  • Knowledge of legal case management software.
  • Experience in a fast-paced, professional environment.

Our standard working hours are 8:30am to 5:30am Monday-Thursday and 8:30am to 5pm Friday. Our client offers 3/2 alternative working from home pattern staff after probation.
