Job summary

A leading contemporary art gallery seeks a Junior Registrar to manage loan coordination and assist registrars with general queries. The ideal candidate will have a passion for contemporary art, a keen eye for detail, and the ability to prioritize tasks across multiple projects. Responsibilities include monitoring sales, coordinating loans, and supporting the gallery in various logistical capacities. Compensation is up to £32,000 per annum, depending on experience, with an application deadline on 9th January 2026.

Key Responsibilities
  • Sales allocation: Monitor sales alerts and allocate to appropriate registrar. Be point of contact across departments to ensure sales are allocated to appropriate registrar.
  • Assist CS Registrars as required with estimates requests, checking and filing paperwork, assisting on exhibitions and gallery consols, responding to general enquiries in a timely fashion.
  • Client shipping – liaise with sales team and clients, set up jobs and shipments on the Inventory, liaise with Warehouse, Technical and Reception to coordinate condition checks and release. Work with a range of shippers to provide most appropriate service for client.
  • COAs record keeping, dispatch and queries, preparing templates.
  • Booking couriers and taxis as required.
Loans & Exhibitions Support
  • Coordinate smaller loans to and from White Cube, liaising with staff and colleagues across the gallery, studios, external service providers and national and international borrowers.
  • Create and maintain clear documentation for loans from start to finish including, but not limited to, artwork lists, checklists, condition reports, loan cost estimating and invoicing.
  • Work with the Associate Director Loans, Project Coordinator and Loans Registrar to maintain and update documentation/information relating to White Cube loans.
  • Support team with estimating, communication and coordination on elements of White Cube Artist Exhibitions and Inside White Cube Exhibitions.
  • Maintain an enthusiastic approach to loans and stay informed of required gallery/international standards, liaising with colleagues and external bodies (HMRC, UKRG etc.).
  • Monitor Loan and Exhibition records in the collections database and action any updates to it as required, maintaining and communicating house style in the process.
Input
  • Field requests from different teams in the gallery ensure that requests are dealt with in a timely fashion.
  • Observe style guidelines as well as artist-specific style preferences.
  • Quick response time while maintaining accuracy.
Organisation of Weekly Shuttle
  • Field requests from different teams in the gallery check artwork locations/packing/condition.
  • Prepare request list for Crozier.
  • Work flexibly to accommodate requests and manage priorities.
  • Observe (and enforce) deadline.
  • Occasionally arrange additional transport and off-site packing and checking.
  • Act as main liaison between the gallery and Crozier for day-to-day storage queries.
Artist Studios & Consignments
  • Co-ordinate local and international transport of new artworks from Artists studios for consignment/ art fairs/exhibitions.
  • Instruct condition reporting for artworks and ensuring works are insured, checking and confirming packing and casing requirements.
  • Liaise with SL/ALs to organise consignment agreements for Artists studios.
  • Liaise with Legal and SL/ALs to organise third party consignment agreements.
  • Raise invoices for third party sales.
  • Liaise with the Exhibitions department to organise shipping schedules and deadlines.
  • Work with Fabrication to advise on issues from logistics perspective.
  • Manage Artists inventory; undertake regular reports of on and off-site storage.
  • Act as point of contact for various ad hoc queries from clients, and institutions regarding artworks or artists.
General
  • Attend and contribute to relevant Registrars conferences and forums.
  • Attend all staff meetings and exhibition openings.
  • Work with IT to improve Inventory for all Registrar needs.

Compensation

Up to £32,000 per annum dependent on experience.
