Job description
Overview

The Programme Information Management Officer plays a critical role in ensuring the effective management, governance, and utilisation of programme information and records. Synergy is a major programme, generating documents and other material of significant and long‑term value. Synergy information includes contracts, decisions, design documents, planning material, budget records and strategic papers. All of this is covered by the terms of the Public Records, Freedom of Information and Data Protection Acts as well as Government audit and transparency standards.

Main Responsibilities
  • Review the Programme’s current information handling arrangements, implement and deliver an improvement plan if required.
  • Support Synergy colleagues with training and communications to improve information handling confidence across the Programme.
  • Ensure alignment with DWP’s wider information management policies.
  • Support lessons learned and knowledge‑management activities to capture tacit learning.
  • Lead the implementation of a regular cadence of information‑handling audits to ensure continued compliance with IM policies across programme workstreams.
  • Design and produce high‑quality reports to support the Programme Senior Leadership Team.
  • Manage and optimise programme information systems, most notably SharePoint, to ensure continued compliance.
  • Act as a key point of contact for programme information‑management queries, supporting Programme staff to ensure timely responses.
  • Collaborate with PMO colleagues, delivery leads and central functions to ensure alignment of information practices programme‑wide.
  • Lead on legal information‑rights work within the programme, ensuring alignment with DWP policies (Freedom of Information, Data Protection).
  • Steer any legal discovery work that arises during the lifecycle of the Programme.
Qualifications and Experience
  • Demonstrable knowledge of information rights operations and of information‑management policies within a large organisation in a regulated sector.
  • Experience building strong and robust relationships with varied, complex and challenging stakeholders.
  • Analytical thinker with ability to assimilate large data sets to produce actionable insight and reports for senior stakeholders.
  • Project‑management skills – able to work independently to plan and deliver a range of complex tasks and actions.
  • Attention to detail – carry out tasks thoroughly and with accuracy.
  • Candidate must be or be willing to become a member of the Government Knowledge and Information Management (KIM) profession.
Selection Process

Written sift: CV outlining career history, key responsibilities and achievements. A 250‑word technical statement (demonstrable knowledge of information‑rights operations and policies) and a 750‑word personal statement (evidence of suitability for the role).

Initial sift on the 250‑word technical statement. Successful candidates progress to a full sift or directly to interview.

Interview: up to 45 minutes via MS Teams with a panel of at least two people. The first five minutes require a presentation; visual aids are not permitted.

Salary and Benefits
  • Salary: £57,946.
  • Department for Work and Pensions contributes £16,786 towards Civil Service Defined Benefit Pension scheme.
  • Working patterns: job sharing, term‑time working, flexi‑time and compressed hours.
  • Generous annual leave of at least 23 days on entry, increasing up to 30 days over time (prorata for part‑time employees), plus 9 days public and privilege leave.
