Overview

We are looking for an experienced and highly organised Executive Assistant to support the CEO of a long-established UK charity. The organisation has both operational and charitable responsibilities and is dedicated to governance, safety and supporting its specialist community. This is a fixed-term contract running until 31 August 2026, with an immediate start. Core hours are Monday to Friday, 8.45am to 5.00pm. The role is hybrid, with attendance in the Central London office required every Tuesday, and one additional day in the office each week, with flexibility to work remotely for the remainder.

Responsibilities
  • Organising Board, Court, and Sub-Committee meetings, preparing relevant papers, and taking comprehensive minutes.
  • Acting as departmental lead on Governance, Risk, HR, and Data Protection.
  • Maintaining governance and data protection records and processes.
  • Maintaining staff personal records, leading on recruitment and HR issues with exisitng HR support where appropriate.
  • Representing the CEO at meetings as required.
  • Coordinating the CEO’s diary and programme, arranging meetings, booking rooms, hotels, and travel.
  • Managing the CEO’s inbox and correspondence.
  • Drafting, compiling, and preparing reports, taking meeting minutes and presentations, and formal correspondence.
  • Managing databases, records, and filing systems.
  • Acting as the first point of contact for incoming correspondence and calls.
  • Liaising daily with internal colleagues as well as VIPs, the City of London, and other external stakeholders.
Qualifications
  • Minimum of 3 years’ experience as an Executive Assistant.
  • Immediately available with the ability to commit until 31 August 2026.
  • Perfect written and spoken English.
  • Demonstrable experience of minute-taking and reporting.
  • Exceptional attention to detail and organisational skills.
  • Confident and professional when liaising with high-profile individuals, including dignitaries and royals.
  • Ability to work collaboratively within a team environment.
  • Right to work in the UK.
  • Strong, verifiable references.
