Job description

Within the People Experience and Services team, our mission is to deliver a seamless and standardized associate experience across EMEA, ensuring alignment with the company's broader goals of operational excellence and service quality. This position's team plays a key role in streamlining HR processes, eliminating duplication, and driving consistency across core areas such as Data, Payroll, Talent Acquisition, Associate Lifecycle, and Advisory services. The team works closely with HR Business Partners, the Community of Experts, and the People Strategy team, while also collaborating with global HR, Finance, and Communications to support regional scalability, automation, and associate satisfaction across EMEA.

As a Specialist, Associate Lifecycle (EMEA), you will be part of the team of HR professionals delivering end-to-end HR administrative services for our associate population across EMEA. You will be responsible for hire/pre-boarding, internal transfers, offboarding, contracts, data administration, and compliance, ensuring these processes are executed accurately, consistently, and in line with local legislation and company standards. Your role will contribute towards a positive and compliant associate experience, while also contributing to broader business and operational goals.

Responsibilities
  • Deliver day-to-day HR administrative processes for associates across EMEA, including hire/pre-boarding, internal changes, exits, and documentation.
  • Deliver contract creation, data updates, and document management, ensuring compliance with local labor laws and internal policies.
  • Ensure organizational data accuracy in (HRIS) Workday, including maintaining up-to-date position data and reporting structure, to ensure employee data and job architecture is kept up to date to provide real time accurate information. Initiate and complete regular audits and partner with HRBPs to ensure accuracy.
  • Monitor and process absences and leaves, ensuring accurate application of policies and timely communication with associates.
  • Partner with Payroll and other teams to maintain accurate data and support payroll processing activities.
  • Manage contract generation, amendments, and renewals, ensuring timely completion in accordance with legal requirements. Ensuring contract templates are up to date and compliant with local policies and legislation.
  • Act as a Subject Matter Expert, ensuring that policies, PSP articles and processes in your SME area are updated to reflect best practices and legal requirements.
  • Lead proactive planning and coordination for key recurring annual events e.g. CLA updates.
  • Collaborate with stakeholders across HR and business functions to continuously improve associate lifecycle processes and support cross-functional projects.
  • Contribute to audit readiness by ensuring lifecycle documentation and records are consistently accurate, timely, and compliant.
  • Represent the EMEA Associate Lifecyle team and actively take part in EMEA projects to support our continuous improvement journey.
  • Use data to provide inputs, insights and recommendations to process owners and stakeholders to drive process effectiveness.

Note: Responsibilities include, but are not limited to, those listed above. The role may require additional tasks and duties as assigned to meet the needs of the department and organization.

Measures of Success
  • Process Accuracy and Customer Service: SNOW Lifecycle cases processed accurately and within SLA. Target: 95%+ cases within SLA, ave. time to close a case <7 days.
  • Compliance: Full compliance with regional labor laws and internal policies. Target: 0 compliance breaches or audit findings.
  • Stakeholder Satisfaction: Satisfaction scores from HRBPs and Retail partners. Target: 85% satisfaction rating in internal surveys.
Experience & Qualifications
  • Previous experience in HR Operations or administrative HR roles.
  • Strong operational understanding of HR lifecycle processes, including onboarding, contract management, and HRIS administration (preferably Workday).
  • Good working knowledge of EMEA labor regulations and internal HR controls.
  • Ability to evaluate data and situations to determine appropriate actions within existing guidelines and policies.
  • Strong interpersonal skills, with experience working across teams, functions, and regions to support service delivery.
  • Fluency in English required; additional European language(s) are a plus.
