Job summary

A local authority trading company in Walthamstow is seeking an HR Assistant Apprentice to provide operational support. Responsibilities include recruitment, onboarding, HR policies maintenance, and payroll management. The role requires strong communication, organizational, and IT skills, with a minimum requirement of GCSEs in English and Maths. On-site training will occur at Waltham Forest College, with 1 day a week allocated for learning. This is a unique opportunity to develop HR skills in a supportive environment.

Responsibilities

  • Support recruiting managers in the recruitment process and screening CVs.
  • Manage onboarding for successful candidates and carry out HR induction.
  • Assist in maintaining HR policies and ensure compliance.
  • Prepare invitations and take meeting minutes while maintaining confidentiality.
  • Keep HR processes updated and identify improvements.
  • Communicate effectively with all staff across the business.
  • Manage personal electronic files of employees ensuring data accuracy.
  • Handle monthly payroll submissions and manage payroll data.

Job description

As HR Assistant Apprentice, you will play an important role in providing effective day‑to‑day operational support to Waltham Forest Services Limited, which is the Local Authority Trading Company owned by LBWF. You will also act as the ‘super‑user’ of all HR related systems such as MyHRToolkit, Youmanage, iHasco, Perkbox and Maji.

Responsibilities
  • Recruitment – supporting Recruiting Managers in the recruitment process, setting up interviews, ensuring all the correct documents are in place, advertising job vacancies and screening CVs.
  • On‑boarding – manage the process for preparing offers of employment for successful candidates and carrying out pre‑employment screening (eligibility to work in the UK, DBS checks, references etc). Carry out the HR induction process for new members of the team, supporting managers with their onboarding responsibilities and ensuring staff are set up and trained on MyHRToolkit, Youmanage, iHasco and any other relevant systems.
  • HR Policy – supporting with the maintenance of HR policies and procedures to ensure effective, fair and consistent management of employees throughout the Company. Assisting the HR manager in educating employees and managers of the HR policies and procedures. Ensure policies are legally compliant whilst maintaining a ‘light‑touch’ approach so they are fit for purpose for each organisation.
  • Employee Relations – Preparing invitations, taking minutes and drafting document packs, maintaining the strictest of confidence and standards.
  • HR Processes – keeping the HR processes up to date on the MyHRToolkit and Youmanage and ensuring compliance with them. Identifying process improvements and making recommendations. Supporting with the internal and external audits.
  • HR Support – communicating effectively with all people across the business, both written and verbally, ensuring tact and diplomacy are demonstrated. Keeping up to date with employment legislation and policy changes to advise accordingly.
  • Employee Data – effectively managing the personal electronic files of all employees on MyHRToolkit and Youmanage ensuring all employee data is accurate and up to date, including right to work checks and up‑to‑date emergency contact details. Producing regular KPI reports for Management and Board on matters such as sickness absence, turnover, L&D, Equality Monitoring.
  • Payroll – Effectively and compliantly managing the monthly payroll submission – including collating the monthly variation reports, starters and leavers and sickness absence data to ensure staff are paid correctly – working in partnership with the payroll team to maintain effective working relationships.
  • Produce accurate records and documents including emails, letters, files, payments, reports and proposals. Make recommendations for improvements and present solutions to management.
  • Exercise proactivity and good judgement. Make effective decisions based on sound reasoning and be able to deal with challenges in a mature way.
  • Build and maintain positive relationships within the team and across the organisation. Demonstrate ability to influence and challenge appropriately. Become a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrate good communication skills, whether face‑to‑face, on the telephone, in writing or on digital platforms. Use the most appropriate channels to communicate effectively.
  • Complete tasks to a high standard. Apply expertise to continuously improve work. Review processes autonomously and make suggestions for improvement.
  • Take responsibility for initiating and completing tasks, managing priorities and time to meet deadlines.
  • Use relevant project management principles and tools to scope, plan, monitor and report. Plan required resources to successfully deliver projects. Undertake and lead projects as and when required.
