Overview

We are a specialist pharmaceutical company 100% dedicated to developing medicines to treat and prevent HIV. Born out of a partnership between GSK and Pfizer in 2009, with Shionogi joining in 2012, our ambition is to end the HIV epidemic.

We are seeking a detail-oriented HCP External Engagement Manager to manage and deliver end-to-end contracting activities with healthcare professionals (HCPs) and healthcare organisations (HCOs). You will ensure contracts are accurate, compliant with ViiV policies and local regulations, and executed efficiently by partnering with internal teams (Medical, Legal, Finance, Procurement, Event Operations) and external stakeholders. This role ensures high-quality and compliant coordination of all UK HCP contracts and engagements, enabling timely, ethical, and transparent interactions with external experts. As part of ViiV’s Customer Experience function, this role strengthens operational excellence and ensures external engagements support ViiV’s mission to end the HIV epidemic by 2030.

In this role you will
  • Manage the full lifecycle of HCP/HCO contracts for assigned markets or product areas: intake, template selection, drafting support, review coordination, signature collection, execution and archiving in the contract management system.

  • Lead the design and optimisation UK processes related to HCP/HCO payment and contracting, ensuring they are efficient, scalable and fully compliant with ABPI, ABAC, and internal governance.

  • Ensure all contracting activity complies with GSK internal policies (including interactions with HCPs/HCOs, Anti‑Bribery & Corruption, and privacy) and local regulatory requirements; escalate potential compliance risks to Legal/Compliance and your Manager.

  • Act as the primary liaison between internal requestors including Medical Affairs and Commercial teams to accelerate contract reviews and resolve queries; maintain clear and timely stakeholder communications.

  • Maintain contract data integrity: enter and update contract metadata, key milestones (deliverables, payment schedules) and status in the contracting system; produce routine management reports.

  • Coordinate payment and invoicing with Finance and Accounts Payable, ensuring appropriate documentation (invoices, signed agreements, receipts) is collected and retained.

  • Provide guidance to internal teams on standard contract templates and procedures; support training and onboarding of new users on contracting tools and processes.

  • Identify operational issues and propose/implement process improvements, template updates and automation opportunities to reduce cycle times, mitigate risk and increase transparency.

  • Support audits and internal/external reviews by preparing contract evidence packages and responding to information requests in collaboration with Compliance/Legal.

  • Work closely with Key External Experts, Healthcare Organisations and third party partners to ensure seamless delivery of engagements and a high quality experience.

  • Manage and oversee outsourced operational partners responsible for raising and managing purchase orders across the LOC, including setting and tracking KPIs for 3rd party vendors.

Decision-making and authority
  • Operates with day-to-day autonomy within established policies, templates and escalation pathways.

  • Progresses standard contracts using established templates and company policy; escalates non-standard terms, legal red flags or potential policy breaches to the Manager/Legal/Compliance.

  • Can approve routine administrative contract changes (e.g., contact details, administrative amendments) but does not approve material commercial terms, legal clauses or unusual payment arrangements.

  • Recommends process improvements and assists in workload prioritisation for the contracting team.

  • Operates with broad autonomy to prioritise workload, resolve stakeholder issues, lead process decisions, and manage vendor performance.

  • Previous experience supporting HCP contracting or medical operations.
