Hampstead Garden Suburb Synagogue (HGSS) is a dynamic, thriving modern orthodox community operating within the ethos and procedures of the United Synagogue.

We are looking for an experienced, detail-focused Finance Assistant to join our office team on a part‑time basis.

This role would suit someone with solid hands‑on experience in finance or accounts, who enjoys working with accuracy, structure and routine, and who takes pride in keeping financial information well organized and up to date. You will be confident working independently within established processes, while also being comfortable collaborating with colleagues and supporting a wider team.

We are keen to hear from applicants who are reliable, organized and pragmatic, with good numeracy skills, strong attention to detail and clear communication skills. You will be AAT Level 4 qualified, or currently studying towards AAT Level 4, with relevant practical experience in a finance or accounts role. Experience using Sage is important.

Key Duties and Responsibilities:
Accounts
  • Input and maintain day‑to‑day accounting transactions in Sage, including income, expenditure, receipts and payments.
  • Maintain accurate and up‑to‑date accounting records in Sage.
  • Support the operation of bank accounts, including reviewing payments and verifying incoming funds.
  • Process supplier invoices and submit them for approval in line with agreed procedures.
  • Support the maintenance of financial data and accounting systems, working closely with the Finance Manager.
  • Provide general accounting and bookkeeping support as required.
Membership fees and other income:
  • Support the processing and administration of membership contributions and fees, maintaining accurate records on K2.
  • Process charity vouchers and cheques for payment.
  • Support the processing of card payments for membership, donations and events.
  • Issue cheder fee invoices, chase payments as required and process related expenses.
  • Process and record donations received.
  • Support the administration of income from events.
B. Additional duties to transition into over time
Accounts
  • Support month‑end processes in Sage, including preparation of financial reports for review.
  • Support payment processing and prepare bank and control account reconciliations.
  • Assist with the preparation of monthly management information.
Membership fees and other income:
  • Produce periodic billings for membership fees and other services.
  • Monitor and chase outstanding contributions and fees, and assist with debtor reconciliations.
  • Set up and administer direct debits, including chasing unpaid amounts and reconciling payments.
  • Produce accurate and timely gift aid declarations.
  • Support the administration of grants and fundraising appeals.
  • Assist with the administration of other balance sheet items.
Working environment and potential Challenges:
  • The organisational and cultural context of an Orthodox Jewish community operating within the United Synagogue structure.
  • Collaboration with, while at the same time being supervised, guided and trained by, the Finance Manager
  • Team‑based working to ensure efficiency, accuracy, completeness and adherence to deadlines.

Person Specification
Experience

The successful candidate will have at least two to three years financial experience in an office environment or similar role.

Skills and Qualifications
  • AAT Level 4 qualification, or currently studying towards AAT Level 4, is essential.
  • High level of numeracy with general experience of running financial, accountancy and bookkeeping systems.
  • Knowledge and recent experience of using Sage up to trial balance is essential.
  • Computer literacy, fully conversant with Windows, Microsoft Office, spreadsheets, databases, email and the Internet.
  • Excellent organisation skills combined with a “hands on” approach.
  • Flexibility, a high level of initiative, and an ability to work both independently and as part of a team supervised, overseen and guided by the Finance Manager.
  • The ability to deal with tight deadlines and to plan and prioritise his/her workload.
  • Must be able to pay attention to detail to ensure work is carried out with accuracy and the quality expected.
  • The ability to concentrate on the work at hand while remaining calm despite the background noise inherent in an open‑plan office.
  • Good communication skills, both in writing and orally.
  • Pragmatic and strong inter‑personal skills, including a friendly and effective manner on the telephone and via email.
  • A high level of drive and energy to assist in a busy and diverse office.
  • A working knowledge of Orthodox Judaism and the Jewish Community is desirable.

Generic other duties

  • Committed to the aims of the United Synagogue and act as an ambassador for the organisation.
  • Comply with The United Synagogue’s policy and procedures and code of expectations.
  • Bring to the attention of senior staff any health and safety concerns or issues, which you become aware of. In the event of any immediate danger, to take the appropriate action to reduce risk to physical danger to employees, members, contractors, volunteers, children, parents, visitors or staff.
  • Work collaboratively with other colleagues across the organisation to ensure the United Synagogue can achieve its vision, mission, and strategy.
  • Undertake appropriate training as requested by your line manager in conjunction with the Human Resources Department and be committed to own continuous professional development.
  • Carry out any other reasonable duties as requested by the Community Operations Director, or other designated senior staff/undertaking such other duties that occasionally fall within the purpose of the post.
