Key Responsibilities
Reception & Front of House
  • Meeting and greeting clients and visitors with warmth and professionalism
  • Escorting guests to meeting rooms, providing refreshments, and announcing arrivals
  • Maintaining the highest presentation standards across all client-facing spaces
  • Managing the meeting room booking system and tracker
  • Ensuring meeting rooms are set up and cleared promptly after use
Facilities Management
  • Coordinating repairs, maintenance, and office services, liaising with vendors and contractors
  • Supporting Health & Safety compliance, including visitor logs and security badge issuance
  • Ordering and replenishing office and pantry supplies for London and Paris offices
  • Managing incoming and outgoing mail and arranging couriers (FedEx and local)
  • Overseeing office equipment and liaising with suppliers for servicing and repairs
  • Processing invoices and maintaining vendor relationships
Team & Administrative Support
  • Providing ad hoc support to the Executive Assistants and broader office team
  • Assisting with internal and external events, including logistics and catering
  • Coordinating travel bookings where required
  • Preparing reports, presentations, and documentation for facilities projects
  • Covering for the Front of House Manager during absences
