What the Workplace Management and Services Department does at Worldwide

A key partner of the People leadership team, the Workplace Management & Services team leads the company’s global workplace strategy and delivery, shaping a culture that aligns with our values and sustainability goals. The team collaborates with the People, Finance, and line-management teams to develop programs on time and within budget to continuously improve the workplaces.

What you will do
  • Provide a high level of customer service to senior executives, business associates and external customers.
  • Coordinate travel arrangements and detailed trip itineraries involving flights, hotels and ground transport, including domestic and international travel which may require visas.
  • Manage complex and proactive calendars, including arranging meetings with direct reports and leadership teams; schedule meetings across the U.S. and abroad for global attendees across time zones.
  • Manage SharePoint calendars and ensure events are entered in a timely manner by yourself and colleagues.
  • Organize off-site meetings and conference attendances for senior executives.
  • Adapt to rapidly changing priorities and conditions.
What you will bring to the role
  • Ability to prioritize, organize and be flexible with a high attention to detail.
  • Strong interpersonal skills to engage with senior executives, internal and external customers.
  • Ability and enjoyment of working on a wide range of tasks and projects simultaneously.
  • Confidence and ability to address and escalate challenging situations effectively and with good rapport.
  • Solid knowledge of MS Office products and the ability to learn and adapt to new technology and systems.
Your experience
  • 5+ years of office/business experience as an executive assistant for a global organization.
  • Experience with Microsoft Office applications and the ability to produce materials for internal and external use; knowledge of Microsoft Teams is a plus.
  • Ability to anticipate needs and prioritize as priorities change.
  • Excellent critical thinking and problem-solving skills.
  • Extensive familiarity with travel planning applications; knowledge of Concur is a plus.
