Executive Assistant (Remote, UK-Based)

With leadership split between the US and the UK, They operate in a dynamic, fast-paced environment where clarity, autonomy, and impact matter. As they continue to scale, They are seeking an exceptional Executive Assistant to support our Managing Director in the US, while working closely with our UK team.

Role Overview

This is a pivotal role for an experienced, proactive Executive Assistant who thrives in an international setting. You will provide high-level support to the Managing Director and senior leadership, taking ownership of complex diary management, cross-border coordination, and strategic administrative support. In addition, you will occasionally assist with personal PA duties to ensure smooth day-to-day management of both professional and private commitments. The right candidate will be highly organised, responsive, and adaptable, with the confidence to manage competing priorities across multiple time zones.

Key Responsibilities
  • Manage complex executive calendars across UK, US, and international time zones with precision.
  • Coordinate and schedule meetings, calls, travel itineraries, and logistics.
  • Monitor and prioritise high-volume inboxes and communications on behalf of senior executives.
  • Prepare documents, agendas, briefing packs, and reports.
  • Maintain and update records, contact databases, and CRM systems (HubSpot).
  • Track follow-ups, deliverables, and deadlines to ensure priorities are met.
  • Provide administrative support on special projects, including research, reporting, and investor or partner coordination.
  • Handle confidential and sensitive information with complete discretion.
  • Assist with occasional personal PA duties (e.g., personal scheduling, household/vendor liaison, and other ad-hoc support as required).
Required Qualifications
  • Minimum 3 years' experience as an Executive Assistant or in a comparable high-level administrative role.
  • Fluent in English with excellent written and verbal communication skills.
  • Advanced skills in Google Workspace (Calendar, Docs, Sheets, Gmail).
  • Experience using Slack for internal communications.
  • Proficiency with HubSpot CRM (or a similar platform).
  • Strong ability to coordinate seamlessly across multiple time zones.
  • Previous experience working in a remote or hybrid environment.
  • Highly organised with exceptional attention to detail and time management.
  • Previous background within Private equity/ property investment
Preferred Experience
  • Background in finance, investment, or professional services.
  • Experience supporting executives across both UK and US markets.
  • Familiarity with international business etiquette and scheduling.
  • Confidence with tools such as Notion, DocuSign, and Zoom.
