Job Purpose

As an Executive Assistant, you will have the responsibility for providing administrative and operational support to the Chief Executive Officer (CEO).

Main Duties
  • Work directly with the CEO to support all aspects of their daily work routine.
  • Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
  • Serve as a liaison between the CEO, Senior Leadership Team(SLT), staff and customers.
  • Coordinate work with other staff as needed.
  • Provide coordination, monitoring, and communication of projects and programs managed by the CEO and any other team as directed.
  • Assist in Project Management activities and processes.
  • Serve as a primary point of contact between the CEO and external sources (such as solicitors, FIA, HMRC etc).
  • Assist the CEO in the development of presentations for internal and external audiences.
  • Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Support with administration tasks where required (eg. Handle printing, posting, mail/overnight packages, copying, filing, and email/messages).
  • Compose and prepare letters relating to routine correspondence for the CEO’s signature.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
  • Prepare, reconcile, and submit expense reports.
  • Maintain paper and electronic filing systems.
  • Maintain confidential and sensitive information.
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.

You may be required to complete other tasks, as required by the business.

The Package
  • Full-time (Fixed Term Contract)(40 hours per week)
  • 33 days holiday, including 8 Bank Holidays, annually;with the option to purchase an additional 3 days via salary sacrifice each year
