Owen Reed is looking for an Executive Assistant for a top global law firm in London.
We are recruiting a highly experienced Executive Assistant to provide senior-level, confidential support to the Global Senior Partner within an international law firm. This is a pivotal role within the Secretariat team, requiring exceptional judgement, governance expertise and the ability to operate at the highest level across a complex, global partnership.
The Role As Executive Assistant
You will act as a trusted gatekeeper and strategic support to the Global Senior Partner. You will coordinate governance processes, manage complex stakeholder relationships and ensure the effective operation of boards, committees and partnership activity across multiple jurisdictions.
Key Responsibilities
Executive & Governance Support
- Provide proactive, high-level EA support to the Global Senior Partner, including complex diary management, international travel and expense management.
- Act as a trusted liaison, drafting correspondence and communications on behalf of the GSP.
- Maintain action trackers, priorities and robust electronic filing of sensitive documentation.
Boards, Committees & Partnership Processes
- Co-ordinate key governance meetings, including Equity Partner, Fixed Share Partner and Supervisory Board meetings.
- Prepare agendas, collate and circulate papers, attend meetings and take accurate minutes.
- Track actions, voting outcomes and ensure accurate records and audit trails are maintained.
Partner Appraisals & Remuneration
- Co-ordinate Equity Partner appraisal processes in collaboration with senior leadership, Finance and HR.
- Prepare and manage appraisal documentation, schedules and progress trackers.
- Support remuneration and reward processes, including preparation of papers, templates and communications.
Strategic Projects & Partner Matters
- Support lateral hires, promotions and partnership voting processes.
- Prepare governance papers, voting communications and post-decision partner updates.
- Assist with strategic initiatives and confidential partnership-related projects.
Stakeholder & Team Support
- Build strong relationships with partners, senior leadership and Business Services teams globally.
- Provide cover and support to other Executive Assistants within the Secretariat team as required.
Skills & Experience
- Significant experience as an Executive Assistant supporting Partner or C-suite leadership within a law firm.
- Strong governance experience, including board and committee coordination and minute-taking.
- Advanced Microsoft 365 skills (Outlook, Teams, Word, Excel, PowerPoint, SharePoint).
- Experience using document management systems (e.g., iManage).
- Excellent written communication skills with the ability to draft senior-level correspondence.
- Proven ability to manage confidential and sensitive information with discretion.
- Comfortable working across multiple time zones.
