Job Title: Executive Assistant
Location: Basingstoke (onsite 4 days / home working 1 day)
Start Date: ASAP
Contract: Active security clearance or eligible


Are you a dynamic and highly organised professional, looking to make a significant impact in a large, innovative and growing organisation? We are seeking an accomplished and proactive Executive Assistant to join the Chief Executive Office and support the Head of UK and Ireland. This role will report to and work in collaboration with the Chief of Staff to ensure the CEO is effective and successful, enabling them to focus on strategic initiatives while you take care of the details. Your ability to multitask, prioritise, and communicate effectively will be instrumental in ensuring the seamless operation of CEO. This role is seeking an individual who has a proven background in managing complex scheduling and day to day organisation at an executive level, as well as a great attention to detail, resourcefulness and the ability to remain calm under pressure.

Your role
  • Focusing on the priorities and tasks required to support the effective day to day running of the CEO
  • Managing the day to day diary, using effective triage, prioritisation and time management
  • Delegation responsibilities on approvals where appropriate
  • Initial triage, flags and filing of the inbox
  • Planning travel and meeting logistics
  • Planning customer trips and entertainment schedules
  • Planning meeting preparation time and coordinating meeting materials ahead of time
  • Deputising for the Chief of Staff where required
  • Pro-actively developing and following up on action items required of the CEO
  • Administrative tasks for the CEO
  • Representing the CEO brand professional and consistently, both internally and externally
  • Building knowledge and networks with other HQ and Global Office Teams within the organisation
  • Managing small projects such as event planningAttend and being involved in, key Leadership team meetings and actively ensure follow up on actions and activities
Your Skills
  • Proactive Support: Anticipate the needs of the Leadership Team, providing them with the resources, information, and assistance required to drive the company's success.
  • Calendar Management: Manage a complex calendar; scheduling meetings, appointments, and travel arrangements while considering priorities and deadlines.
  • Communication: Act as a liaison between executives, employees, and external partners, handling emails, calls, and other correspondence with professionalism and discretion.
  • Travel Coordination: Arrange travel logistics, accommodations, and itineraries for executives, optimizing their time and work life balance.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality.
Your Experience
