The Opportunity

A leading UK Trade Association representing over 370 organisations across the rail supply chain is seeking an experienced, proactive, and self‑motivated Events Coordinator. This is a critical role responsible for leading, shaping, and delivering a nationally recognised and diverse annual programme of business events. You will take full ownership of the events lifecycle, from strategic concept and venue sourcing to successful on‑the‑day delivery and post‑event analysis.

Success will be defined by driving income through sponsorship, maintaining high delegate retention, building strong relationships with suppliers and members, and actively using feedback to enhance the future programme. This role offers the chance to build strong relationships across the entire UK rail sector and provides a supportive path for professional growth within a collaborative team.

Events Coordinator Responsibilities
  • Develop and oversee the delivery of the comprehensive annual programme, including a flagship Annual Conference, Parliamentary Reception, themed conferences, social gatherings, and topical webinars.
  • Manage all event logistics, including sourcing and contracting suitable venues, managing supplier relationships, coordinating staffing, and ensuring the seamless provision of all delegate information (badges, joining instructions, etc.).
  • Develop, maintain, and successfully sell event partner and exhibitor packages to drive essential income and build valuable relationships.
  • Manage all event marketing and communications, bookings, and follow‑up processes, ensuring timely and accurate information, and the logging of attendance in Salesforce.
  • Work collaboratively with colleagues to shape relevant, member‑focused content, ensuring all events have a nominated ‘lead person’ for programme development and speaker sourcing.
Ideal Events Coordinator Candidate

You are an experienced events professional who thrives on ownership, organisation, and seeing projects through from concept to completion.

Essential Criteria for Interview
  1. Proven track record in planning and delivering successful business or membership events (full lifecycle management).
  2. Demonstrable experience managing event budgets and successfully securing sponsors or exhibitors to drive income.
  3. Systems Competence: Comfortable using MS Office and CRM systems (ideally Salesforce), with experience using Mailchimp and url removed being highly desirable.
  4. Behavioural/Soft Skills: Highly organised, self‑motivated to meet strict deadlines, adaptable to last‑minute changes, and a personable team player capable of building strong relationships with colleagues, members, and external suppliers.
Desirable Skills
  • Experience within a membership organisation, trade body, or the rail/transport sector.
  • Understanding of hybrid and online event platforms.
Location

Flexible working arrangements, with travel required across the UK to deliver the event programme.

Salary

Up to £42,000 per annum, depending on experience.
