Job description

Join IWM as an Estates Coordinator and play a key role in managing and maintaining accurate data that supports our estate operations across more than 100 buildings and 112 hectares of land. You’ll be at the heart of our Estates team, ensuring compliance, supporting systems, and helping us deliver a safe and sustainable environment for staff and visitors.

Role Responsibilities
  • Be the first point of contact for enquiries, managing the Estates shared inbox and providing clear, helpful responses.
  • Create purchase orders and invoices, and assist with financial reviews.
  • Keep our internal communications up to date on SharePoint.
  • Support asset data management in line with government standards.
  • Maintain space booking systems and assist with reporting.
  • Provide administrative support to the Director of Estates and team leads, including sustainability initiatives.
  • Occasionally take meeting notes and distribute actions promptly. Travel to our branches (London, Duxford, North, Churchill War Rooms, HMS Belfast) will be required.
About You
  • Strong organisational skills and attention to detail.
  • Experience in accounts or commercial administration.
  • Confidence using Microsoft Office and purchase ordering systems.
  • A proactive approach to improving processes.
  • A willingness to learn and develop new skills.
