Overview
You will work as a member of the Endoscopy service scheduling team and provide an efficient and effective service to all patients who require an Endoscopy procedure. You will liaise with patients to arrange mutually convenient appointments for procedures in line with Trust policy, scheduling and booking patients into both the Trust’s electronic patient record system and Solus Endoscopy systems.
You will ensure capacity constraints are escalated in line with departmental and Trust policy and maintain up-to-date electronic records of all inpatient referrals.
Duties
- Ensure all relevant patient information is accurate and record details of all patient communications and episodes on Harris Flex.
- Add referrals received into the booking office to the appropriate waiting lists, ensuring all sources of information are recorded accurately and fully to populate the Patient Tracker Lists.
- Liaise with patients, nursing, and clinical staff using initiative and a comprehensive knowledge base to compile endoscopy lists effectively while optimising procedure sessions.
- Ensure all patient appointments are correctly scheduled and documented on both Harris Flex and the Solus Endoscopy system, booked chronologically and in clinical priority to avoid breaches.
- Provide clear verbal instructions to patients on bowel preparation/fasting and stopping medications in preparation for their procedure.
- Ensure patients’ bloods and bowel preparation are in date to safely proceed with their procedure.
- Confirm by letter details of patients' appointments and any pre-admission instructions.
- Know when it is appropriate to refer issues to Clinicians, Line Managers, or Divisional Managers.
- Work in accordance with departmental and Trust patient access policies.
- Communicate effectively with the public, medical personnel, prisons and a wide range of colleagues across the Trust.
- Book Interpreters as required.
- Communicate with patients about their procedures, supporting emotionally distressed or anxious patients with sensitivity, dignity and respect and advise on the best course of action where possible.
- Be confident in liaising with external bodies such as other hospitals and care homes to obtain necessary information.
- Maintain an approachable and helpful manner and provide guidance and support to colleagues in delivering an efficient service.
- Address problems or queries in a timely manner, ensuring relevant information is provided to aid quick resolution.
- Maintain confidentiality as required by legislation and Trust policies.
- Play an active role in the team and contribute to internal/external meetings, supporting improvements in services.
- Participate in the PDP process, undertake learning and development opportunities identified, and complete all mandatory training.
- Train new staff in all aspects of the post and undertake general supervision of less experienced staff.
